What does it take to become a Civican?

Civica is looking for Library Officers to manage the day-to-day operations of the assigned library including operating the Library Automation System (LAS); providing support in library information services; procurement and maintenance of library resources and delivery of library programmes.

A day in the life…

• Ensure efficient processing and circulation of resources to the students and other library patrons.
• Shelve library materials and read shelves in accordance with recognized library standards i.e DDC for school libraries
• Classify, catalogue, process and genrefy new library resources
• Maintain the integrity of the data in the Library System
• Select, index, archive and update resources and databases suitable for use as supplementary materials to support teaching, learning and research
• Development and preservation of the library collection to ensure currency and relevance
• Assist library patrons with queries
• Consult Heads of Department on recommendations for collection development in consideration of school collection profile as well as curricular and non-curricular needs
• Liaise with suppliers on the purchase, delivery and verification of library resources acquired
• Prepare, analyse and evaluate regular reports on library usage, loan and collection statistics, reference enquiries, collection profiles and programme reviews
• Promote library collection, services and activities through displays, newsletters, social media and/or other means of outreach.
• Develop and conduct library and reading promotion programmes
• Engage regular users to gather feedback on their interests and needs.
• Provide loan, advisory, information and enquiry services to students and teachers

• Diploma or GCE ‘A’ levels or equivalent, with good credit in English
• Proficient in technology (MS Office, digital tools, social media platforms)
• Strong interpersonal and communication skills, to work collaboratively with teachers, students (aged 13 to 18) and vendors
• Comfortable with making presentations
• Self-starter
• Stooping, bending, lifting and reaching is required for picking up and shelving books.
• Experience in the library industry would be an advantage.

Job Responsibilities:

• Ensure that respective departments undertake the appropriate and necessary action in response to Head Office's new/change in regulations instructions/direction.
• Coordinate and facilitate the implementation of any new products, new transactions, or new technologies by evaluating the impact on any operational risk of the Branch including legal, compliance, AML, and tax risk.
• The interface between users and the IT Department ensures users’ requirements are adequately judged and fulfilled by evaluating the accuracy and impact on operational risk and reasonableness of users’ requirements.
• Facilitate and support BCP exercise and stress test, if any, reviewing impact on operational risk and workflow.
• Check and confirm all new / amended and background of deletion of Branch Procedures Manuals and conduct Branch-wide annual review and improve procedure organization of Branch.
• Investigate and recommend on any operation-related issues, e.g., improvement of efficiency, resolving gridlock in workflow, etc.
• Follow-up all MAS / HO/ External / Internal – audit/inspection findings and ensure that issues are being settled appropriately and manage periodical submission to Internal Auditor.

Requirements:

• Min bachelor’s degree with 5 to 6 years of experience in operational risk management in the corporate banking environment.

Administrative duties

· Attend to phone enquiries and walk-ins

· Perform general administrative duties such as bank-in cheques, filing,, document transmittal note, maintain proper documentations

· Attend to billing enquiries, check and resolve billing issues/ ensure all purchases are accounted for

· Ensure proper filing system and proper documentation of invoices/DO/subcontractor LOA

· Record entries of supplier’s invoices, petty cash voucher into madsoft system

· Assist in project reporting

· Liaising with accounts executive/manager from HQ

· Other ad-hoc duties as assigned.

Requirements

· Diploma/Degree in Accounting field with at least 2 years of experience.

· Experience in Madsoft Software is an advantage

· Fluent in English & Chinese, Malay is a plus.

· Cheerful, Responsible, Meticulous, Fast-thinker and Takes initiative in work.

· Fast Learner, Able to get things done fast in a systematic way.
