This position is responsible for providing transactional and administrative support to ensure accurate, effective and efficient operations of Non-Supplier Invoice/Payment Processing. The incumbent is required to:

• Manage OCH intranet and internet website, which includes working closely with stakeholders to ensure that website content is accurate and up-to-date at all times, consistent with NTU’s and OCH’s branding and messaging, and user experience is continually improved and refined.

• Manage office administration to ensure the smooth and efficient operations of OCH, which entails creating and maintaining an organised and efficient office environment so that workflows, processes, and systems are structured and optimised to achieve effectiveness and productivity. It includes monitoring and updating all administrative recordings (e.g., office assets and phone lines), office supplies and equipment (and initiating procurement as needed).

• Support the hiring and onboarding of new staff (including Temps and Student Assistants), including all logistical requirements and setup, and OCH internal communications.

• Plan, coordinate and organise OCH events such as engagement sessions, team bonding, learning journeys and training sessions.

• Assume the role of wellbeing ambassador in OCH, with responsibilities including coordinating and sending congratulatory and condolences messages and gifts to OCH staff.

• Plan, and organise senior and middle management meetings (e.g., MT and EMT meetings respectively), including organising agenda, setup of meeting and note-taking at meetings.

• Provide comprehensive administrative and secretariat support to OCH senior officers, including tracking action items and tasks assigned during senior and middle management meetings, drafting document and presentation slides, performing research and analysis for strategic projects, as well as managing calendars, organising and scheduling meetings and appointments for OCH senior officers.

Development and production of marketing materials

• Develop and produce marketing materials for advancement campaigns in a variety of formats, including print, video, and digital, for major gifts and annual giving campaigns.

Management of crisis communications

• Working closely with the Lead, Marketing Communitions on issues and crisis communications in fundraising-related matters such that the University’s communication response is coordinated, timely, and effective.

Development and implementation of communication strategies for principal and major gifts         

• Draft compelling messaging and materials that resonate with donors, including proposals, case statements, and campaign collateral.

Provision of communications support for the Chief Development Officer (CDO)

• Consistent and communications support for the CDO on critical areas including research, speech writing, publicity, and stakeholder engagement. Work with the Lead to ensure that the University's messaging is clear, consistent, and impactful.

Key Responsibilities

Design, develop, and evaluate creative assets in alignment with UAO’s communication plan and engagement strategies.

• Design, develop and implement creative assets that have cross-channel purpose, including print, email, social, digital, website, presentations, video, infographics, and more;     

Requirements:

• Degree in Visual Communications, Graphic Design or a related design field

• Excellent design and visual marketing skills with 2 to 3 years’ working experience in design

• Adept at designing across a range of styles for a wide spectrum of stakeholders and audiences

• Able to think creatively, and produce effective design work to changing needs and requirements of projects and programmes

• Able to conceptualise and contribute design work that fits fundraising and marketing communications strategy and plans

NTU Shared Services (NSS) is a centralized unit within Nanyang Technological University (NTU) that provides a wide range of administrative, operational, and support services to various departments and units within the university. Its primary goal is to streamline and optimize processes, enhance operational efficiency, and deliver high-quality services to support NTU's core mission of education and research.

The NSS Technical Support Executive is responsible for providing effective IT/AV technical support role, in relation to the generic desktop/ laptop PCs, mobile devices, Audio Visual (AV) equipment, as well as NTU campus software. This includes problem diagnosis, configuration, installation, and general troubleshooting of IT/AV systems and applications, adhering closely to the Service Levels Agreements (SLAs) and policies set by the organization.

Responsibilities:

• Provide on-site Level 1 & 2 Support in relation to IT/AV- related service disruptions at the Common Teaching Facilities (Lecture Theatres, Tutorial Rooms and Meeting Rooms), One Stop Tech Lounge and Schools/Faculties.

• Diagnose and troubleshoot IT/AV equipment faults and application errors, to restore service provision.

• Troubleshoot technical problems of low to medium complexity, resolution to resolve these incidents.

• Assist in replacing generic IT/AV equipment parts and peripheral components for servicing, as required, and liaising with multiple vendors.

• Provide IT/AV technical support as assigned, in response to ad-hoc manpower request from Local Units (including providing AV support for events, video conference/ meeting/ interview support).

• Respond to all technical emergencies raised by NSS Service Desk.

• Provide face to face IT support by appointment at One Stop Tech Lounge.

• Facilitate processing and tracking of other administrative activities.

• Document IT/AV related problems and resolution procedures in Knowledge Base for future reference.

• Maintain technical documentation related to configuration of IT/AV equipment and components.

• Carry out Asset management in accordance with NTU policy and procedures. Keep track of the IT/AV asset movements at the respective storeroom locations.

Requirements:

• Minimum GCE “A”-levels / Diploma in Information Technology with 2 years of relevant working experience

• Proficient in problem diagnostics and resolution, with the ability to work autonomously

• Good working knowledge on desktop operating systems including Windows 10 and above, Macintosh OS, and associated generic applications

• Working knowledge on other IT domains, including software, hardware, servers and network operations

• Working knowledge in handling/operations on audio/video equipment and its infrastructure

• Preferred experience on programming, ServiceNow, data integration and ITIL Certified
