GENERAL SUMMARY

Reports to the Partnerships Director, and is responsible for securing new funding/ donations to ensure HCSA programmes’ sustainability through corporate sponsorships for our signature fundraising campaigns and iniatives. Duties & Responsibilities

• To study contract documents, perform measurements and prepare Bill of Quantities;
• To assist in contract administration, prepare progress claim(s) and liaise with the Client’s representative on claims and variation costs;
• Call quotations, compare prices and prepare bill of quantities to arrive at the tender pricing;
• To review and verify the Subcontractor’s / Supplier’s claims and prepare payment certificates
• To attend site meeting and progress claim meeting;
• Upon completion of each project, to monitor the respective project during the defect’s liability period;

Job Responsibilities:
• Handle all aspects of clients’ company secretarial matters (both listed and non-listed companies)
• Customer due diligence (on-boarding and on-going monitoring)
• Assist with incorporation of new companies, registration of foreign companies, etc.
• Prepare resolutions, minutes of meetings and ancillary documents
• Maintain Statutory Register and Minute Books
• Preparing and filing of notifications with ACRA
• E-stamping of transfer forms
• Ensure compliance with the statutory reporting requirements of the Companies Act, Listing Rules, and Code of Corporate Governance 2018
• Perform any other secretarial duties and support as and when assigned

Job Requirements:
• ICSA qualified
• Preferably with relevant experience in legal firms or established corporate secretarial firms
• Good command of written and spoken English
• Proficiency in mandarin is essential to liaise with Chinese clients
• Must have good computer skills especially in Microsoft Word and Excel
• Positive working attitude with strong initiatives and a team player
• Detail oriented and able to multitask
• Self-motivated, independent and able to work well under pressure
• Fresh graduates or those currently pursuing the ICSA course would be considered for the Assistant position

Job scope:

• Develop strategic plans for the purchasing function
• Prepare cost estimates, tender, contracts and price finalizing for project tender submission
• Render support to business leaders for all project procurement matters
• Source for required material and suppliers, either directly or through consultant

• BOM and material planning to ensure smooth delivery at minimum inventory level
• Yearly cost saving initiatives

Job Requirement:

• Minimum 5 years of experience in EMS/Manufacturing environment
• Good oral and written communication skills
• Exercises sound judgment based on factual data and analysis
• Strong project management, change management and strong leadership skills
• Strong analytical skills including mathematics, statistics and problem solving
• Capability to evaluate and mitigate risks in the planning process

• Will normally work with a Site Manager with the same areas of work.
• Execute, monitor and ensure the timely completion of the project
• Liaise with the Consultant Representative on project matters.
• Coordinate with Project Manager on the project matters.
• Coordinate with all Subcontractors on matters pertaining to site and quality issues;
• Ensure all contractual requirements are complied with agreed procedures.
• Keeping track on variation and claims of contract and cost impact and feedback information to the Project Manager.
• Implement cost control measures to meet project budget.
• Co-ordinate with QAQC Engineer to ensure quality performance of project to meet customer requirements.
• Check working drawing, identify discrepancies for resolution.
• Check for quality of work according to specification and requirement;
• Maintain inspection records of works, materials and all completed works;
• To assist environmental aspects and impacts, and other environmental issues relating to EMS.
• Ensure the site operations comply with the Project Quality Plan, including quality, environmental and occupational health & safety.

• Review project specifications, technical clarification and construction drawings.
• Coordinate with architect, structural engineer and M&E consultant and vendors to resolve construction and installation issues.

Job Specifications
