Job Description

• Handle onboarding, offboarding and discipline matters

Responsibilities

• Pre-tender, tender and contract administration for the Organization’s development projects
• Analyse and prepare cost estimates and/or cost plans during conceptualisation stage
• Examine, collate and prepare specifications and tender documents for the purpose of inviting tenders
• Recommend and evaluate tenders received on the reasonableness
• Monitor variation costs and carry out cost checks throughout the contract period
• Prepare and submit project financial and cash flow reports
• Reconcile and advise the project final cost with contractors and prepare the Statement of Final Accounts

1. Experience in state court library or relevant would be a plus.
   1. Collection development and maintenance (print and electronic resources);
   2. Managing acquisitions and contract negotiations with vendors (print and electronic resources, including subscription/ renewal of online databases);
   3. Preparation and management of the Library budget and handling the day-to-day operations of the Library, including:
      1. Circulation services;
      2. Inter-library loans and document delivery
      3. Reference and information services
      4. Information literacy services (including orientation briefings and training sessions)
      5. Promotion of library resources and services; and
      6. Monitoring patron and collection usage and security.
   4. Answer enquiries received from all channels, including enquiries from walk-in users, by phone, online and through emails (internal & external).
   5. Regular current awareness/ alert services to create awareness of library resources or provide updates of library matters - manage the bulletin board, circulation of latest information etc
   6. Any other library-related administrative duties assigned by the Authority's Appointed Representative.

Onboarding on December 2024

The Workplace Experience team supports the frontline operations and communications outreach across the three primary locations. The proposed manpower will be required to operate on-site services and the scope of work, but not limited to, is as follows:

• Provide on-site support various teams within organization
• Provide on-site frontline concierge service
• Provide on-site support for room and AV/IT systems management
• Support with provision of office supplies and employee indents through vending and parcel locker machines at the three primary locations when needed.
• Provide administrative and operational support for the daily topping up and up-keeping of pantries located at various floors across three primary locations.
• Manage the daily operations of the gym, including timely follow-ups on any maintenance works required to the infrastructure.
• Provide administrative support and content to drive the monthly promotion
• Provide administrative and operational support to plan, organise and conduct up to two monthly complimentary employee-related initiatives to improve employee productivity across the three buildings, such as sourcing and deployment of food trucks.
• Provide on-site wayfinding/assistance (e.g. lost-and-found) for public visitors at the Public Concierge, the proposed manpower will escalate the service requests/status enquiries/feedback to the middle office via the Employee Relationship Management System (ERMS) for case resolution
• Provide logistics and AV support for events organised within the three primary locations when needed.

Requirements:

• Singapore Citizen/Permanent Resident
• Diploma in Business Management or relevant discipline
• Strong service excellence mind-set
• Good knowledge of Microsoft Office software/applications (e.g. Excel) will be advantageous
