Job scope

Perform general administrative duties such as bank-in cheques, filing, controlling and maintaining of documents, mailing of documents

Perform IR21, IR8A for workers

Monitor and follow up on staffs’ probation, confirmation, appraisal or promotion

Office admin support and general administration such as air ticket purchase, accommodation and transportation arrangement

Performance Appraisal and implement company handbook

Organize company events/team bonding activities

Handle Petty cash claims

Administration and execution of HR functions including Recruitment & Selection, Compensation & Benefits, Payroll Administration, Performance Review, Training & Development, Employee Relations and Orientation Program.

Renew company licenses

Application/Renewal of Permit and Passes for workers and office staff.

Handle Payroll & Leave Application Matters (Calculating attendance/timecard of workers and key in system)

Prepare warning letters for workers/office staffs etc.

1. Provide administrative support to the leasing team such as:

• Preparation of lease documents, license agreements and other contractual agreements
• Keeping track of lease documents
• Data entry and update of vacancy listings, tenant listings, and other necessary database to ensure that the database is up to date
• Prepare leasing and marketing reports
• Take down minutes during meetings
• All other leasing activities as required

2. Participate in marketing and advertising activities such as:

• Helping out in marketing events

Responsibilities

· Responsible for the planning, organizing, directing and controlling of the purchasing, warehousing and transportation functions of the company.

· To lead a team of officers and operational staff in handling daily purchasing and warehousing operation to ensure that customer delivery schedules are met so as to provide customer satisfaction.

· Responsible for customer audit and complaint relating to purchasing and logistics operation.

· Oversee the MRP fulfillment, stock replenishment, purchasing and order management, suppliers’ contract and Vendor Managed Inventory (VMI) management.

· Manage the 3rd party logistics warehouse operation and logistics suppliers.

· Co-ordinate on logistics equipment and facility maintenance and improvement.

· Effectively and continuously explore initiatives and implement programs to improve quality, productivity, cost effectiveness and process improvements.

Requirements:

• Degree in Purchasing/ Logistics/ Materials Management/ Procurement or International Supply Chain Management or equivalent.
• Minimum 3 years experience in purchasing and/or logistics function in manufacturing industry/environment; with at least 2 years of supervisory experience is preferred.
• Knowledge of ISO9000, IAtF 16949, ISO14001 and ISO18000 preferred.
• Experience in using ERP software (Movex) and implement kaizen will be added advantage.
• Experience in managing and auditing 3rd party logistics warehouse operations
• Team player who possesses excellent communication and interpersonal skills.
• Independent, reliable and analytical.

Management of Procurement of Goods

• Regularly review cost-out opportunities and ensure prices for goods are in line with relevant market rates, efficiently sourced, and procured in a way that creates the best value for the business.
• Lead accurate demand forecast with sales and marketing by successfully monitoring and communicating forecasts, changes, inventory estimates, supply situations, business risks, opportunities, and mitigation plans.
• Identify and analyse sales trends and influencing variables and incorporate analysis in forecasting & inventory planning.

Strategic Sourcing

• Effective relationship building with key suppliers for all food/beverage raw materials, ingredients & packaging to meet business demands
• Work with the Sales and Marketing Team to develop and implement short-term and long-term strategic initiatives that enable the business to meet its growth and profitability objectives

Policies, SOPs, Business Systems

• Collaborate with Finance team to ensure procurement management are aligned with corporate standards.
• Maintain knowledge of Import/Export regulations, compliance with the regulations.
