Calendar Management

• Coordinate and manage the executive leadership team's calendars, scheduling appointments, meetings, and travel arrangements.
• Prioritize and plan meetings, ensuring optimal use of executives' time

Meeting Coordination

• Arrange and coordinate meetings (internal, external & regional), booking of meeting venue, agenda preparation, and follow-up actions.
• Attend meetings as needed, take minutes, and distribute them in a timely manner.

Travel Arrangements

• Plan and organize domestic and international travel arrangements including flights, accommodations, and transportation.
• Maintain good relationships with travel agencies and hotels' contacts.
  

Communication

• Serve as the primary point of contact for internal, external, and regional communications on behalf of the CEO and General Manager.
• Draft and prepare professional correspondence, emails, presentation, and reports.
• Maintain good relationships with internal & external stakeholders
  

Administrative Support

• Assist in the preparation of presentations, reports, and other documents.
• Manage travel and expenses claims
• Maintain and organize electronic and physical files, ensuring confidentiality and accessibility.
  

Project Assistance

• Collaborate with other departments and assist in special projects as needed.
• Conduct research and compile data to support decision-making processes.
  

Confidentiality

• Handle sensitive information with the utmost discretion and maintain confidentiality.
  

Any other ad-hoc duties when requiredRequirements:

• Diploma or GCE "A" Levels
• Minimum 2 years of relevant experience in supporting higher management
• Proficient in MS Word, Excel & PowerPoint
• Possesses excellent interpersonal, communication and organizational skills.
• Able to work independently with a strong initiative and a high level of drive
• Able to multi-task with excellent organizational skills
• Responsible, accountable and discreet with sensitive / confidential information.
• Fluent in both written and spoken English, Chinese is an advantage for communicating with our office in Taiwan
