Administrative support and coordination – at workshop level

• Respond to general administrative enquiries and clerical support.
• Prepare the allowances for the technicians.
• Administer employee files and records of benefits and allowances.
• Maintain financial files and records.
• Manage the filing, storage and safety of the documents.
• Perform other related duties as required.
• Assist with all visitor/customer visitations and directing them to the correct channels.
• Maintain a safe and clean reception area by complying with procedures, rules and regulations.

The Service Advisor is responsible for communicating with customers about their vehicle repair needs and relaying information to the Service Technicians. Their duties include greeting customers and helping them determine repairs and relevant costs, maintaining up-to-date knowledge about their employer’s range of services and contacting customers to update them about their vehicle’s repair status. The staff will have to prepare the following as well:

• Daily report
• Monthly report
• Liaise with customers on their vehicle issues and status

Job Scope

Roles & Responsibilities:

• Perform receptionist tasks such as greeting customers, scheduling of appointments, handling queries & complaints via phone, email or general correspondence.
• Maintain a high degree of patient care at the clinic, ensuring that patients have the best experience possible.

THE ROLE

Close interaction and cooperation with the sales team and customers on order processing

Manage sales orders’ processes and update customer on the order status on regular basis

Place TAS POS to suppliers to ensure shipment reach customers on time

Coordinate with supply chain / logistic team to keep customers’ update for any delays / issues for the shipment

Being the key contact and interface to both internal and external customers, ensuring the satisfaction of having their requirements fulfilled

Maintain customer profile Master Data

Manage Sales order pricing and intercompany prices

Transfer price tool processing

Monitor shipments, handle and ensure shipping documents are accurately prepared and received on time by customers

Prepare documents for DA, DP and LC orders

Ensure timely customer’s payment and delivery terms in accordance to Finance pre-requisites

Act as QNS coordinator and ensure complaint is entered into system for resolution

Provide product information (SDS/TDS/PDS/HS codes) to customers on time

REQUIREMENTS

Diploma or Degree with 5+ years of experience in Chemical / Petrochemical / Refinery / Fertilizer industries industry is preferred

Proficient with MS Office and SAP SD and MM Module

In depth knowledge on Triangular Sales, DIB and Export-Import rules

Familiar with shipping terms, Incoterms, bank payment terms and Letter of Credit processing

Experience working with 3rd party invoicing processes and intercompany pricing

Strong problem solving and negotiation skills

Quick learner with good attitude, high adaptability and able to multi-task

Independent self-starter and possess a service-oriented approach
