RESPONSIBILITIES

• Accounts Receivable
  • Generate customer invoices, credit/debit note and posting entries in the eTeams.
  • Monitor customer account details for non-payments, delayed payments and other irregularities against assigned credit limit/term.
  • Involve in the billing settlement and reconciliation for the invoices.
  • Investigate billing discrepancies and implement corrective actions.
  • Highlight potential debt recovery issues and suggest solutions to recover debts including legal proceedings.
  • Mediate and resolve invoice disputes.
  • Maintaining accounts receivable files and records.
  • Work closely with internal stakeholders in monitoring collections and resolving customer payment issues with regular meetings or discussions.
• Reporting
  • Reconciliation and analysis of aging report.
  • Analyze customers payment performance and check for potential credit risks to mitigate potential payment defaults.
• Process and Systems Improvement
  • Ensure proper documentation of new operational processes and workflows.
  • Implement continuous improvement initiatives to streamline existing credit control processes and improve efficiencies through a better utilization of automated systems.
• Zendesk support
  • Ensure timely response to queries received from Zendesk platform.
• Other duties

• Diploma holder with at least 3 years of relevant work experience.
• Previous relevant work experience in education sector will be advantageous, specifically Billing management, Accounts Receivable, Accounts Payable and Office Administration.
• Experience with handling SkillsFuture claims and refunds for participants will be advantageous.
• Experience with process improvement projects.
• Advanced user of Microsoft Office suite, especially Excel.
• Demonstrated ability to create reports and interpret data with both in-house application systems and SAP systems.

Your Responsibilities

• Execute shipments by closely monitoring logistics processes and interpreting contract terms to meet customer requirements and ensure timely appropriations against sales.
• Review documentary letters of credit, track issuance, and initiate necessary amendments to ensure compliance with trade terms and conditions.
• Manage letter of credit negotiation, import/export document handling, and laytime computation to facilitate seamless trading operations.
• Handle all shipment-related expenses, as well as manage client receivables and payables, ensuring accurate financial records.
• Acknowledge and/or send vessel nominations, issuing vessel load orders to facilitate the loading and unloading of cargo.
• Prepare and arrange export documentation required for shipments, ensuring compliance with regulatory and trade requirements.
• Monitor vessel schedules for upcoming shipments of bulk commodities and container vessels, making necessary arrangements for timely loading and unloading.
• Collaborate with shipping agents, surveyors, and suppliers to address and resolve any issues that may arise during the shipment execution process.
• Maintain organized vessel files for tax and legal purposes, ensuring proper documentation of all trading activities.
• Perform other ad-hoc duties as required to support the overall trading operations and team objectives.

Your Profile

• Diploma or Bachelor's degree in a relevant field such as Business, International Trade, Logistics, or related disciplines.
• 2 – 5 years of working experience in trading operations, logistics, or a related field within the commodities industry.
• Strong understanding of contract terms and international trade practices.
• Familiarity with documentary letters of credit, import/export regulations, and shipping documentation.
• Proficiency in laytime computation and experience handling shipping-related financial transactions.
• Excellent organizational skills and attention to detail, with the ability to manage multiple tasks simultaneously.

· Perform continuous audit of food costs; count and audit the inventories of all Hotel stores for pricing and quantity

· Furnish the Management with daily recapitulation of food and beverage issues, total value of storeroom inventory, Food Cost status, Beverage cost status and sales analysis in the food and beverage operations.

· Assist in the establishing and checking of purchase specifications and periodically review them to ensure that they are implemented; observe competitive market prices, participate in market surveys and make comparison of purchase prices with other Hotels.

· Assist in playing a positive and creative role in working with the Food & Beverage Department and to constructively assist in the costing.

· Monitor slow moving stock items in storage and to highlight them on a timely basis; recommend methods and procedures to improve control of waste and losses within the Hotel and to investigate reasons for spoilage and wastage.

· Prepare daily and monthly Food and Beverage Cost Reports including reconciliation summaries.

· Establish inventory counts of operating equipment both at the Hotel stores and operating Departments as per schedules established by the Financial Controller/Assistant Purchasing Manager. And also assist in the preparation of operating equipment inventory and loss reports.
