Guest Relations Executive, Front Office

The Guest Relations Executive is an essential part of the Front Office Team. Summary

Reporting to the Head of Department (HOD), you are responsible in the planning and executing of sports-related activities / events for members and their guests. You are also required to assist in the Club’s social activities / events.

Roles and Responsibilities:

1. Works closely with the HOD and the Sports Sub-Committee to plan and execute sports-related activities / events such as in-house, Friendlies, National and Inter-Club competitions.

2. Handles and follow-up on all sports events and to solicit members’ participation.

3. Liaises with all concerned parties / departments to ensure smooth running of the activity / event.

4. Prepares the department duty roster.

5. Supports the social portfolio by working closely with the HOD in the planning and executing of Kids club activities / events etc.

6. Ensures smooth running of the various sports facilities in the Club, namely: Billiard Room, Badminton Courts, Bowling Alley, Tennis Courts, Swimming Pool, Gymnasium, Mahjong Room, Squash Courts and Table Tennis Room.

7. Conducts regular checks at all the sports facilities to ensure they are in good condition.

8. Ensures all equipment are well-maintained and reports to HOD if any repair or upgrading is necessary.

9. Leads, guides and motivates the department staff in carrying out their tasks efficiently.

10. Communicates with members to obtain feedback to enhance our services.

11. Attends the monthly Sports Sub-Committee Meeting.

12. Generates the minutes for Sports Sub-Committee of meeting and follow-up on the necessary actions.

13. Stand-in for the HOD during his absence.

14. Performs any other duties as assigned by the HOD.

Job Requirements:

§ Diploma in Sports & Leisure Management or equivalent with least 3 – 5 years of working experience in a similar capacity.

§ Pleasant personality with strong passion in sports.

§ Well-organized with good customer service attitude.

§ A good team player with a strong ability to lead.

§ Good communication and writing skills.

§ Able to work on shifts, weekends and public holidays.

Job Requirements:

• Min. Diploma/Degree in Finance/ Accounting.
• Minimum 3 years working experience in a similar position preferable in property / construction industry.
• Experienced and able to handle full set of accounts.
• Familiar and knowledgeable in accounting software / systems.

Job Descriptions:

• Recording of accounting / financial transactions in IFCA Accounting System.
• Checking of payment requisitions received and preparation of payment vouchers / advices and payment (cheques and online) documents.
• Recording of Daily Payment Requisitions List and Daily Bank Balances Records.
• Update the Accounts Receivables Records and maintain the Progress Payment Certificates File (soft and hard copies).
• Monitor and update Bank Guarantees List.
• Update / record deposits and short-term investment records such as Fixed Deposits, Money Market Deposits, Sinking Funds, Dual Currency investments, etc.
• Report Daily Bank Balances to Finance Manager (FM) and Directors.
• Custodian of petty cash and proper maintenance of such records.
• Liaise with Procurement Department and Commercial Department on timely submission of payment requisitions for the preparation of the monthly management accounts and reports.
• Prepare the necessary schedules / analysis for annual statutory audit and income tax submission purposes.
• On a monthly basis, report to Finance Manager on unusual matters relating to projects, payables & receivable ageing reports, management reports and cashflow statement and any other matters affecting the function of Finance Department.
