Job Description

• Prepare delivery orders, packing list and invoices to ensure a smooth delivery.
• Maintain contact with delivery drivers and to report any breakdown to supervisor for contingency plan.
• Assist to plan and coordinate delivery schedules of drivers.
• Perform data entry and maintain department records.
• Establish and maintain a good filing system of documents.
• Assist in the warehousing functions.
• Housekeep and ensure returned inventory are in clean and mint condition.

Position objective and summary

• Handles day-to-day coordination and administration of a Secretary role.
• Provides secretarial and administrative support to management staff.

Main tasks / activities / responsibilities

• Performs normal office functions such as setting up and maintaining files for easy reference.
• Handles and screens incoming calls and mails, drafting letters and documents and setting appointments.
• Coordinate meetings and provide meeting agenda and/or minutes.
• Assists in the preparation and consolidation of information relevant to Supervisor’s assignment and personal matters.
• Welcomes and advises visitors; promoting professional image of the organization.
• Works with appointed travel agent regarding planning trips and booking of air ticket and/or hotel.
• Ensure that the travel policy is followed in order to provide cost-effective and convenient travel arrangements.
• Coordinate a full range of meeting, event, and travel arrangements including working with internal/external contacts for venue requirements and selection, room set-up, catering, and material delivery.
• Serves as liaison between management and staff transmitting information, explaining appropriate work instructions, and following up on assignments.

Job requirements

• Minimum GCE A level/College, Professional Certificate/NITCE or Diploma.
• At least 1 year of working experience in the related field.
• Proficient in computer skills such as MS Office, Excel, Word and PowerPoint.
• Able to liaise with Chinese and English speaking associates.
• Pleasant personality and positive work attitude.
• Able to work independently, good communication skill and proactive.

Responsibilities

· Be current and knowledgeable in HR legislations, Employment Act and Employment of Foreign Manpower Act.

· To administer compliance, control and educate stakeholders on HR policies and legislations.

· Support in manpower planning.

· Administer, collate, tabulate data and manage target setting and performance appraisal alongside with functional heads.

· Support Employee Relations initiative to foster team cohesion, teamwork and productivity.

· Manage on-boarding program and off-boarding program.

· Demonstrated experience in Payroll.

· Engage in dormitory Planning to optimize dormitory occupancy for operational efficiency and cost effectiveness.

· Investigate and resolve disciplinary issues and grievances.

· Define and maintain current and accurate data for compliance and operation efficiency.

· Prepare essential documents and letters.

· Tabulate and generate relevant reports for management and relevant authorities for decision making.

· Process Annual Leave, Home Leave and etc.

· Support the implementation of change initiatives and projects to advance HR best practices from time to time.

Knowledge, Skills and Abilities Required

· Diploma/Degree

· Minimum of 3 years of relevant experience in human resource management

· Excellent interpersonal and people management skills

· Effective in both verbal and written communication
