Contract Senior/HR Assistant, L&D (4 Months Maternity Cover)

Location: One North

Salary: $3.5K max

5 days office hours

Job Summary:

Provide comprehensive and confidential administrative and operational support to the Capability Development (L&D) team. Manage high-volume correspondence, scheduling, project coordination, and special initiatives to ensure the smooth functioning of the L&D department.

Administrative Support:

* Manage the Director’s calendar and schedule appointments, meetings, and projects scheduling

* Screen and respond to emails, and written correspondence

* Prepare and distribute meeting agendas, minutes, and presentations

* Handle confidential information with discretion and professionalism

Operational Support:

* Coordinate the planning and execution of L&D programs and initiatives

* Assist with the development and implementation of L&D strategies and policies

* Manage vendor contracts and relationships for L&D services

* Provide logistical support for L&D events, workshops, and training sessions

* Maintain and update department resources and systems, including databases and software

Project Management

*Manage and track multiple projects simultaneously, prioritizing tasks and ensuring timely completion

* Collaborate with cross-functional teams to advance L&D goals

* Prepare project reports and status updates for the Director and other stakeholders * Assist with research, data analysis, and report preparation related to L&D initiatives

Special Initiatives:

* Coordinate the development and implementation of communication plans and outreach initiatives for the L&D department

* Maintain a positive and professional image of the L&D department through effective communication and relationships

We are looking for a suitable candidate to support and drive full-scale loyalty programme which includes the management of membership acquisition, cross partnerships, integrated membership marketing, data analysis and budget tracking.

The candidate will:

• Support all campaigns that will aid the over-arching member’s 360 strategy, shaping the engagement framework.
• Support all end-to-end marketing activations with the objectives of driving acquisition, loyalty, engagement and spend.
• Overall rewards catalogue management, including but not limited to uploading and tracking of rewards assets and its’ validity, management of all corresponding publicity assets, and coordination with stakeholders.
• Support all marketing automation functions – ensure smooth setup, deployment and subsequent monitoring of all loyalty marketing campaigns
• Track and prepare weekly and monthly tracking reports based on pre-determined filters and any adhoc reporting as and when required
• Daily monitoring of the Loyalty programme enquiries channel, and act as the escalation point to the management to ensure prompt and effective response and resolution
• Raising and tracking of purchase orders and invoices
• Daily liaison with CRM vendor to support any system fixes and/or user troubleshooting required
• Collaborate with tenants to ensure end-to-end implementation of events and promotions

Requirements

• Degree in Marketing or equivalent, with a minimum 2 to 3 years of relevant experience in supporting full-scale loyalty programme(s)
• Has a track record of securing and managing an affiliate partnership network
• Experience in working with retail brands preferred
• Possesses detailed knowledge of integrated marketing disciplines
• Articulated with strong communication skills to liaise with stakeholders across different levels
• Possesses project management skillset and self-driven individual with a can-do attitude
• Able to work independently and perform under pressure in a fast-paced environment with minimal supervision
• Strong stakeholder management skills to leverage knowledge potential across teams and develop synergies
• Preferably possesses past experience in data reporting and analytics

Job Scope

• Perform front desk duties and operational activities
• Registering patients and dispensing medications
• Chaperoning / assisting doctors in clinical procedures
• Establish inventory standards for medications and supplies
• Submission of claims and other medical documents
• Scheduling of appointment and patient registration
• Booking of referral appointments
• Handling phone calls and inquiries
• Handle administrative and ad-hoc duties

Qualifications And Job Requirements

• Prior experience will be an advantage.
• Computer literate and team player
• Our family clinic serves a significant number of elderly patients who may not be fluent in English and often communicate in dialects such as Hokkien, Teochew, or Cantonese. Proficiency in Mandarin or the ability to converse in dialects would be highly beneficial

Responsibilities:.

• Trained to carry out Visual Acuity (VA) Tests for patients.
• Perform VA tests and record in the system.
• Promote health related messages to patients and encourage sign up of NUHS App/ HealthierSG.
• Data entry/ calling of patients for appointment as assigned by supervisor.

Requirements:

• Min Nitec and above
• No need experience , Training Provided
• Able to commit for min 6 months

Working Hours – 32 hours / week

Mon, Thurs, Fri: 8am-5pm (8 hours excluding 1 hour lunch)

Tue, Wed: 8am-12pm (4 hours)
