About the Position

The incumbent’s work will be under the supervision of the Finance Manager.

This appointment is on a 1-year contract basis with an initial 3-month probation period.

KEY RESPONSIBILITIES

• Process AP invoices, payments and posting,
• Assist in payment and reimbursement process,
• Assist in month-end closing schedules, reconciliation, journals, reports and etc,
• Assist for project financial reports and budget and forecast reporting,
• Involve and participate in the financial and regulatory audit process,
• Assist in financial report and management reporting,
• Assist in GST filing preparation and filing,
• Ensure payment process is in compliance with ASEF’s procurement policies, grant conditions and statutory requirements,

QUALIFICATIONS & EXPERIENCE

• Diploma/Degree in Accountancy from recognized institutions
• At least 3 to 7 years of related working experience
• Independent and able to work with minimal supervision

• Possess initiative and able to organize and prioritize worPrevious experience in an international organization or non-profit sector will be an added advantage

Responsibilities:

Corporate Secretary

• Manage all local corporate secretarial work for a portfolio of about +25 entities incorporated in various Asia countries (ie. Singapore, Indonesia, Thailand, Malaysia, Vietnam, Philippines, etc.) in compliance with all relevant local laws and regulations.
• Liaise with & give instructions to corporate secretarial agents & other relevant government authorities
• Monitor deadline for statutory filings (eg. annual returns, etc.) and generally compliance with relevant Companies Act
• Co-ordinate/Liaise with other in-house departments (ie tax, finance, treasury, etc.) to ensure smooth running of the day-to-day administrative and corporate secretarial related matters
• Maintain and timely update the secretarial database (eg. registration certificate, business license certificate, etc.)
• Prepare & Circulate resolutions, board meeting of directors and shareholders and ensure timely signing

Job Description:

· Execute procurement processes in PCF’s Procurement Management System (PMS), including creation of Small Value Purchase (SVP)/Request for Quotation (RFQ), Purchase Order (PO), Goods Received Note (GRN)

JOB DESCRIPTION

· Answer phone enquiries and orders professionally and efficiently with the use of good telephone techniques, customer service, speed and accuracy

· Respond to customer enquiries and provide quotations to customers promptly

· Arrange for cargo pick up, permit clearance and transfer; and attend to customer queries; and engage haulier services when necessary

· Check commodity harmonized system code if applicable

· Manage and coordinate the flow of information between customers, warehouse and the transport team concerning the status of orders, incoming shipments, arrangement for cargo pick up, engagement of haulier services, unstuffing of incoming shipments, delivery arrangement, wrong orders, returned/damaged goods, unavailable loading bay at customer site, direct reject of orders at point of delivery, etc

· Ensure that critical information with regard to urgent delivery, special timing request are communicated and follow up with the transport team till completion of delivery

· Liaise with customers to evaluate and establish actual reason for direct reject of orders at the point of delivery; and rectify the error when necessary and work with finance to process credit note promptly and accurately

· Work closely with accounts team to:

a. Resolve and reconcile credit note discrepancies against payment made by customers;

b. Resolve and reconcile price error in orders and generate price difference credit note upon receipt of approval from customers and the Company

· Exercise good customer service skill when managing difficult customers and/or customer complaints

· Verify and analyse information gathered from customers’ feedback; and resolve the issues on the spot whenever possible. 1. Maintain and update Crewing Calendar factoring projects and in-house needs and crew leave.
2. Support and provide information on Time Off In Lieu (TOIL) entitlement for in-house crew on a monthly basis.
3. Maintain an updated crew database for both in-house and freelancers with positions, grades, job scale, and performance, rate of professional fees, responsiveness, reliability, skills and technical competencies.

b) Project-Related

1. Obtain relevant project information from Sales Department for crewing needs including details such as location of project, crew positions, duration of project, crew rate, and any other additional requirements.
2. Consult project technical manager to identify the crew requirement and skill sets required for each project.
3. Roster project with in-house and freelance crew.
4. For freelancers - Negotiate fees, manage contracts and other documents, and outline expectations and company policies.
5. Arrange and/or coordinate crew logistics including preparation of per diems, visa application, flight, accommodation, transportation, and meals.
6. Plan for crew contingencies for unexpected situations that may jeopardize projects.
7. Supper project crew by playing an active role in all communications related to crew (logistics and crew welfare).
8. Provide replacement crew if a crew member becomes unavailable due to sickness, flight cancellations, etc.
