Business Partnering and Finance Management

• Support APAC Finance Manager, onsite FM leads & functional teams in the handling of business, operational, financial decision making, risk mitigation and other financial advice;
• Ensure timely production of annual budgets / quarterly forecasts for the portfolio;
• Manage daily expenditure for both Opex and Capex;
• Complete month end closing and reporting with high quality;
• Deliver trainings to onsite FM team to ensure finance process well implemented with no risk;
• Monitoring and review of financial KPIs;
• Process implementation and improvements;
• Ensure the Finance team assists with on-going cost saving projects, including identification, monitoring and analysis.
• Support APAC Finance Manager to deliver finance management from both JLL and client perspective as the regional level.

Reporting/Forecasting/Planning

• Monthly, quarterly & ad-hoc reporting and variance analyses for client and corporate requirements;
• Annual budget & quarterly forecasts for both client and corporate;

Data Management, Policies & Procedures & Audit

• Ensure data accuracy and integrity of the systems across the region and audit data from time to time;
• Ensure that appropriate processes and systems control are planned, implemented and maintained to guarantee the integrity of all transactions;
• Ensure that all financial accounting and reporting is audit worthy/ready and in keeping with recognised quality management processes;
• Ensure the finance staff are well-trained on the financial systems & are effectively able to extract data readily.

People Management

• Provide effective strategic leadership and direction to the JLL Finance team.
• Hiring, coaching & mentoring.

HR Functions

• In charge of recruitment, job posting, screening of applicants, arrange interview
• appointments, ensure pre-employment requirements are fulfilled for newly hired employees.
• Liaise with the Ministry of Manpower and ensure company is in full compliance with MOM laws and other requirements. Update the management for any new rules issued by the Ministry of Manpower.
• Application and renewal of necessary work permits such as Employment Pass and S-Pass for foreign employees.
• Monitor the market rate for the salary of each position in the company and collect survey report at least once a year to be submitted to the Financial Controller.
• Liaise with the Insurance agent for renewal of existing health insurance policy, inclusion of newly hired employees in the policy and assist in employee’s insurance claims.

Finance / Admin Functions

• Liaise with the Insurance agent for the renewal of office insurance and work compensation injury policy.
• Ensure the availability of first aid kit and medicines for employees’ use and for inspection of MOM
• Replenishment of pantry & office supplies
• Liaise with the building management on fire drills and notices pertaining to our premises.
• Liaise with SCDF and other government agencies for application and renewal of permits
• Direct the part-time cleaner to ensure the cleanliness of the office and laboratory.
• Maintain orderliness of the office premises.
• Coding the suppliers’ invoices for office related Service Providers
• Prepare payments to suppliers, as per payment terms, via online banking and recording of
• payments in QuickBooks.
• Preparation of payment vouchers
• Handling and Replenishment of Petty Cash Fund
• Other ad hoc admin duties.

Qualifications:

SUMMARY AND RESPONSIBILITIES

The position available is with the Securities Settlements Operations team. The reporting line is to a Team Manager as first line management, with further supervision by the Vice President. Key stakeholders and interactions will be with Trading and Sales Desks, Engineering and Operations Teams, Credit, Legal, Compliance and external counterparties. The following tasks give an overview of what is required day to day:

Monitoring Settlement activity and ensuring securities are in the right place at the right time

Monitoring Firm inventory to ensure it is moved or converted to facilitate settlement

Working with the Trading Desk on securing borrows to facilitate settlement

Query resolution and interaction with trading desk and clients on failing trades

Investigating and resolving discrepancies of positions (cash and securities) in the firm's books and records
