• Prepare journal entries and balance sheet schedules.
• Prepare quarterly GST reporting.
• Prepare monthly reimbursement report.
• Prepare bank payment transfers.
• Liaise with internal stakeholders and vendors to handle enquiries and discrepancies
• Key in invoices in accounting software.
• Support annual statutory audits, including liaising with auditors and preparation of financial statements.
• Manage monthly and yearly financial closing including accounts schedules.
• Prepare sales and expense reports and analysis.
• Liaise with outsourced HR on payroll and HR matters.

Requirements:

• Hold a diploma or degree in Accounting.
• Possess 4-5 years of relevant work experience.

We are currently seeking a meticulous and hardworking HR and Admin Executive to be part of our Finance Department.

Main Responsibilities

A) Human Resources

• Performing HR full spectrum of HR functions such as recruitment, onboarding and exit process, etc
• Ensure proper updating of employees’ P-files.
• Keep track of staff attendance and update leave records
• Process monthly payroll, claim expenses, and other Government related matters (e.g., CPF/IRAS submissions, employees’ income tax filing, NS claims)
• Responsible for work pass applications,renewals, cancellations, and security bond
• Prepare employment contracts, confirmation letters, birthday, promotion, salary increment, bonuses, and acceptance of resignation.
• Follow up with probationary employees’ respective department heads to gather feedback and input for the performance appraisal.
• Ensure Employee Handbook follows employment laws and regulations by staying up to date with changes and assisting in policy development.
• Attend to employees’ enquiries on welfare, benefits, and other HR related matters.
• Oversee daily operations of the HR function and any other ad-hoc duties as assigned by the Finance Director

B) Admin:

• Pantry and office supplies management
• Submission of product registrations (Certificate Free Sale)
• Coordinate travel arrangements for employees
• Responsible for any other ad-hoc tasks assigned by the Finance Director

Main Requirements

• Proficient in Microsoft Office Applications (Word, Excel)
• Diploma preferably in Human Resources or related field
• Fresh Graduates with a major in HR are most welcome to apply
• Meticulous with an eye for detail
• Good interpersonal skills, proactive, self-motivation, and positive working attitude
• Ability to work independently and with a team.
• Familiar with MOM regulations and HR practices
• Available to start within short notice.

Responsibilities :

• Perform the full spectrum of HR/Admin Duties/Correspondence.
• Experience in managing e-payroll systems via HR InfoTech is an advantage.
• Facilitate onboarding, performance appraisal exercise, and Human Resource Programme (HRP) when required.
• Provide general HR/Admin-related duties.

Requirements/Qualifications :

• Diploma/Degree or equivalent qualification preferably in HR and Training
• Minimum 3 years relevant working experience in the management and HR field
• IT literate
• Excellent Communication Skills – written and verbal

Job Description

• Coordinate the curation and uploading of learning materials for the training account
• Review suitability of the materials for the training account
• Prepare and disseminate publicity materials of the Online training account
• Tracking of usage of courses and prepare reports for various stakeholders
• Manage registration and payment of user accounts
• Track the renewal subscription of the learners' accounts
• Coordinate meetings with various stakeholders
• Provide secretariat support for meetings
• Manage user’s enquiries pertaining to the training account and course materials
• Review the feedback to improve the courses
• Perform other duties that assigned by the HOD and immediate supervisor

Qualification

• Bachelor Degree in Business Administration or any discipline
• Minimum 2 years project management is preferred
• Independent, responsible, ability to multi-task and work in a dynamic environment
• Able to communicate and interact effectively with internal & external stakeholders
• Experience in using E learning resources
• Proficient in Microsoft PowerPoint and Excel
• Good organisational and planning skills
