Postion Overview

The Charity Officer will work closely with the senior leadership at ItsRainingRaincoats (IRR), supporting the day-to-day management of all internal operations and programs. The role also includes handling backend processes, operational matters, and supporting fundraising efforts. Key Responsibilities:

• Provide general administrative assistance, including scheduling meetings, managing calendars, and coordinating travel arrangements.
• Maintain organized filing systems for digital and physical records.
• Act as a liaison between departments, clients, and vendors. Handle communication on behalf of management when required.
• Ensure the office operates smoothly by managing supplies, equipment maintenance, and office-wide communication.
• Assist with bi-weekly COE bidding.
• Monitor and ensure the timely renewal of company property licenses and staff insurance.
• Assist with building maintenance and facilities management.
• Assist in planning and organizing company events, meetings, or other internal activities.
• Ensure cleanliness and tidiness of the office, reception, and pantry areas.
• Assist with staff onboarding and offboarding processes.
• Communicate with government authorities like JTC, BCA, etc.
• Review and check all quotations and sales/purchase agreements before submitting them to the MD for approval.
• Welcome VIPs and guests, providing beverages if needed.
• Provide support for projects and assignments as required by Management.

Requirements:

• Diploma in any discipline.
• Previous experience in a similar role is preferred.
• Strong organizational and multitasking skills.
• Proficiency in Microsoft Office (Word, Excel, PowerPoint).
• Excellent communication skills, both written and verbal.
• Ability to maintain confidentiality and handle sensitive information.
• High level of professionalism and attention to detail.

ROLES & RESPONSIBILITIES

REQUIREMENT /QUALIFICATION

• Registered WSH Officer with MOM
• Minimum 3 years relevant working experience in main contractor construction industry
• Occupational Safety Management (including fire & safety management)
• Experience in private housing/condomium will be advantageous.
