KEY ADMINISTRATIVE FUNCTIONS

1. OPERATION PERFORMANCE

• Monitoring outlet performance on social media on a daily basis and implement ongoing strategy to maintain positive brand image.
• Populate and analyses guests’ feedback to identify and strategize room for improvement.
• Analyses daily sales performance to identify under performance area and presents improvement strategies.
• Prepares information to disseminate to team during weekly management meeting in terms of overall sales performance, COGS, Finance, Sales, Marketing and Human Resource. Chair weekly Management meeting and represent business unit in HOD and different group level meeting.
• Follow up with respective Key Managers assigned to various responsibilities business concepts itself, concierge, delivery, dining and wine.

2. LEARNING AND DEVELOPMENT

• View learning as never ending process and life long journey, it requires continuous effort to sharpen the saw.
• In consultation with HR department, ensure new hired team member go through the structured 1-Group Training Outline and complete the OJT schedule.
• Develop, monitor and schedule OJTs in compliance with HR policies and procedures for all staff to ensure that they are equipped with the necessary tools, skills and knowledge relevant to the outlet productivity and efficiency needs.
• Regularly monitor and conduct training needs analysis of staff to identify improvement needed for their personal development towards achieving company’s objectives.

3. PEOPLE MANAGEMENT

• Display the suitable management/leadership style that would nurtures healthy workplace relationship and sense of belonging.
• Be the outlet’s ambassador in promoting open discussion, collective leadership and equal opportunity among all staff.
• Ensure that all staff are kept updated on new company’s policy & procedures and briefed on the company’s vision & mission.
• Disputes, disciplinary actions and performance management are conducted fairly, timely and unbiased in compliance with HR standard operating procedures, policies and procedures.
• Monitor staff scheduling and maintain labour cost as per budget.
• Participating in HR recruitment processes in accordance to stipulated policies and procedures.
• Ensure team members entitlements and benefits are up to date with HR department and relevant claims are attended to promptly.
• Accountable for submission and accuracy of staff timesheet to avoid dispute.
• Weekly 1:1 with Key managers & supervisor to discuss on their responsibilities, KPI, and completing the necessary appraisal.

4. EVENT MANAGEMENT

• Working closely with event team on monitoring event conversation rates meet desired target. Continuously review all enquiries, providing support in ensuring event enquiries are attended.
• Attend personally or assigns a 2IC manager to attend the EO meeting and ensure timely operational plans and necessary liaison are made in expediting the event’s requirements.
• Coordinate with Senior Team members on manpower requirement and arrangements.
• Conduct personally or assign a 2IC manager for the pre event briefing with Event Coordinator and event’s client to ensure all requirements are met to client’s satisfaction (BIBOL).
• Conduct pre event briefing with team members on event’s requirements, special requests, service sequence etc

5. SALES & MARKETING PLANNING AND STRATEGY

• Work closely with marketing team to develop plans and strategy to drive revenue, footfall and increase brand awareness which are align with the Group Vision Mission, Business Vision Mission, VPC, USP and Brand Pillars.
• Driving Offline and Online business and marketing strategy with internal and external partners.
• Ensure that marketing team update social media presence and all comments and feedbacks are responded timely and accordingly, in a professional manner.
• Coordinating with marketing team to ensure that all promotional aspects or materials are accurate and posted respectively within timeline.
• Disseminate information and mechanics on marketing drives with team members to ensure operational follow ups are executed.

6. FINANCIAL MANAGEMENT

• Prepares daily and monthly revenue targets to be submitted to finance department.
• Review monthly P&L with finance team, evaluate fix & non-fix cost, EBITDA and NETT PROFIT.
• Ensure sales transactions are carried out in accordance to company’s policies and procedures.
• Follow up with assigned team member to ensure cash/sales reconciliation at end of day is performed per standard operating procedures and in compliance with finance department policies and procedures.
• Daily Sales Target spreadsheet and Daily Sales Report are updated and filled up respectively before sending to the respective DSR forwarders list
• Ensure that the Cost of Goods are monitored and maintained accordingly through authorized procurements, submission of invoices to Finance and updating of Eatec.
• Generate Product Mix daily, weekly or monthly where deemed necessary to monitor discrepancies and analyse items sales performance.
• Responsible for accurate configuration of Agilisys.
• Approve and review business petty cash claims.

7. REPAIR & MAINTENANCE

• Conduct periodical checks and walk through on the entire venue and its surrounding, create a snag list of FF&E items requiring repair or maintenance maintaining the aesthetic look.
• Ensure proper maintenance of all the system which includes and not limited to Agilisys, Av & Sound, Projectors.
• Responsible for acquiring quotation for approval by Direct Report on items needing repair or maintenance.
• Inspect and identify areas that are not in compliance with prevailing health and safety legislations and necessary immediate action is taken to rectify.

• Plan and organize business activities such as business missions, networking events, webinars, seminars and conferences and facilitate the formation of Singapore companies’ participation in local and overseas trade fairs, missions, and workshops. Requirement

• A minimum of 4 years of working experience in project management, marketing, business development, event planning, and execution.
• Strong interpersonal and communication skills.
• Proactive, collaborative, has a sense of urgency, and able to manage multiple projects concurrently.
• Proficiency in English, both written and spoken.
• Fluency in Chinese would be an advantage to support the China market.

Job Description

RESPONSIBILITIES

• To be accountable to the Head of Centre for the safety, hygiene, training, caring and general well-being of the trainees in the Training & Development Centre.
• To work collaboratively with the Assistant Training Officer to assist the Training Officers in the day to day operations of the Training and Development Centre.

The Facilities Management team is responsible for ensuring that our buildings and facilities support the empowerment and inclusion of our users. To this end, the team ensures that our building and facilities are accessible, safe and in working order, while also ensuring that the needs of our occupants are met.

The Assistant Manager will be responsible for ensuring smooth daily operations, maintenance and upkeep of the RC’s estate and facilities, through regular building and M&E inspections, compliance to authorities’ requirements and management of service subcontractors to effectively achieve the highest standard. The postholder will also ensure that all facilities maintenance issues and emergencies are attended to promptly and rectified with minimal inconvenience and disruption. The postholder will work closely with vendors/contractors such as security force, cafeteria and transport services and supervise the work of Facilities Support staff.

Critical Work Functions

Development and Implementation of safety policies and initiatives to ensure a Conducive and Safe Environment for Users

• Develop and implement preventive/corrective maintenance programs for M&E installations
• Develop and implement fire emergency plan, fire safety audit, maintenance plan for security surveillance systems and carpark facilities to achieve highest standard of safety and security
• Requisite safety and security equipment and parts
• Program Security Cards and issue to all new hires, collect all Security Cards card from resigned staffs and delete the access card in system

Liaison with subcontractors and vendors

• Follow through the tender, evaluation and recommendation of service or term contracts, as well as its administration and management to ensure works are carried out in accordance to planned schedules, budget and approved specifications.
• Conduct general inspection to identify services for rectification and oversee sub-contractors’ performance in accordance with contractual work scope and timeline of completion

Resource Management and Reporting for Service Improvement

• Plan and implement facility improvement to improve efficiency and reduce wastage.
• Supervise maintenance and cleaning support staff and provide on-the-job training to them for effective school operations and ensure the cleanliness and safety of the school premises. The team is to provide logistical support for school activities.

Job Holder Requirements

• At least 4 years of working experience in Facilities Management or Engineering roles
• Some working experience in Social Services or Special Education sector will be an advantage

You will support the Regional Health System (RHS) in managing clinical information systems that assist clinical care teams with decision-making and the management of patients. You will participate in activities required for the successful design, implementation, maintenance, and support of the population health systems such as the electronic medical records system (EMR) and Residents & Partners Relationship Management (RPRM). You will also work closely with the IT Project team and Synapxe to build and implement solutions that meet user requirements for clinical orders, medication, administration, and documentation.

In addition, you will help to develop business continuity practices and processes, across the entire SingHealth Regional Health System including downtime manual clinical operations for population health-related services across SingHealth. You will also coordinate operations on the ground during the period of system outages.

You will be involved in change management, where you will engage clinical care teams to improve awareness of health informatics amongst residents. You will work with the clinical care teams and RHS operations to gather user requirements and feedback, including incorporating best practices into decision support and to improve adoption of clinical IT systems. You will also participate in the development and maintenance of e-training materials for population health IT systems.

You will be required to provide secretariat support for all projects and meetings involving the Health Informatics group, including coordinating members, minutes writing, analysing data and generating presentation materials.
