Duties
· Involve in the preparation of the company’s agreements on the request of the business operations team for new or renewal and termination of concession, consignment and service agreements. Liaise with the business operations personnel to carry out the job tasks
· Assist Department manager in developing policies and procedures
· Prepare monthly expenditure budget report presentation by monitoring the administration expenses and to process payment requests for reimbursement
· Receive and audit invoices for accuracy and budgeting compliance, to ensure timely payment of department bills
· Prepare summary report of the monthly utilities for Accounts to bill the selected tenants and concessionaires
· Draw up monthly Duty Managers Roster of Retail Managers performing the duties
· Attend internal/ external meetings and take meeting notes
· Handle event planning for meetings , professional development and other department initiatives
· Draft reports and correspondences in respect of the matters involved.
· Engage in the duties of an Administrator comprising of the following works:
a. Maintain the Company’s Corporate Golf membership & monthly subscriptions
b. Administer the maintenance of the companys telephone PABX system , request for installation of office extensions, telephone sets and troubleshooting of faulty lines
c. Control & record the inventories of copier paper and replacement of toner, coordinate the purchase and distribution of these supplies. Monitor the maintenance schedules and meter-readings of the photocopiers for monthly billings by the service vendors
d. Provide support services to all departments on the functionalities of the photocopier cum fax and other office equipments
e. Monitor the regular maintenance and servicing of company leasing vehicles, namely the car, vans truck and update weekly transactions as well as to top-up value of the cash cards acquired in the vehicles
f. Keep records of ordering and distribution of all stock items including groceries for the office pantries.
· Provide administrative support such as :
a. Preparing of monthly department’s staff roster
b. Maintain records of departments staff annual and medical leave
c. Update and submit to HR the staff attendance
d. Monitor and co-ordinate the company’s driver schedule
e. Booking of meeting rooms and ser up the TV system for virtual meetings
f. Perform reception duties to attend to walk in enquiries , deliveries and providing support to office duties and postal services at Singpost outlet to mail letters, registered articles and parcels
· Perform other related duties as assigned by the company .
