Main Tasks:

EHS Management System

Legal and BASF compliance

• Maintains database on all applicable EHS laws and regulations.
• Gap analysis and implementation for new requirement and other WSH requirements.
• Be the responsible person for EHS related license and permit.
• Implement procedures to comply with BASF requirements. Interpreting the ‘What’ and introduce the ‘How’ at the site.

Management Plans and Programs

• Coordinate REHESA reports for site data
• Communicates incident flashes in site
• External report to local authority. E.g. Fire safety report.
• Support site for internal reports, e.g. EHS monthly, quarterly and annual reports, etc.

EHS Training

• Define site training needs and develop EHS training curriculum base on EHS training needs
• Preparing and scheduling training to cover emergency preparedness exercise, workplace safety and other relevant safety topics.

Audit

• Prepare site for BASF RC audit, ISO14001 and ISO45001 system audit.
• Consolidate the follow-up status of action items.

Fire Safety Manager (FSM):

• Ensure site fire safety provision comply with Fire Safety Act.
• Prepare and execute the Emergency Response Plan and conduct fire drills.

People Development

• Be the competent functional EHS via daily work and learning.

Safety Leadership

• Implement EHS activities to improve EHS culture.
• Plan site inspection for site management
• Facilitates experience exchange, lessons learned and know-how transfer among production sites.

Minimum Education and Qualification Required for the Position

• Bachelor’s degree in EHS, Science, Engineering, Production, Chemical or equivalent.
• Registered Fire Safety Manager (FSM) is a must.

Responsibilities

• Provide administrative support to Managing Director and HR Manager.
• Administer the Payroll system including banking of salary of staffs
• Manage the full cycle of recruitment for all levels of staff
• Involved in the entire employee lifecycle - onboarding, induction to exit interviews.
• Process Work Pass Application / Renewal : Work Permits, SPASS, PLOC / LOC and EP.
• Processing payroll for all employees and involved in the submission of CPF
• Handling of NS , Maternity/Paternity and Child Care claims
• Ensure accuracy in maintaining employee database and P-file
• Yearly IR8A submission and IR21 submission for resigned foreign workers
• Handle employee grieviences and issues
• Provide secretary duties to the top management, administration of the payroll, performing the Human Resources and Purchasing functions.
• Monitoring daily attendance for Gateway, Keypoint and Warehouse, printing the monthly overtime sheet
• Coordinate training courses of new staff if needed, from warehouse to office staffs.
• Planning and coordinate of company events and medical assessments
• Supervise office housekeeper / general workers on daily franking of mails and monthly update.

Requirements

• Min O Levels / NITEC / Diploma in Human Resource
• Must have min 2 years’ experience in payroll and HR related
• Familiar with Sage EasyPay software highly advantageous
• Proactive in Teams Meeting and discussions

RESPONSIBILITIES

• Administrative Support: Support OIE team with administrative matters including finance, travel, procurement, and scheduling.
• Procurement: Handle procurement processes in line with the organisation's guidelines and processes. Ensure that all purchasing activities adhere to the company's policies and quality standards.
• Budget Management & Reporting: Oversee and manage OIE's budget, ensuring all financial activities are conducted in line with allocated funds. Monitor expenditure and provide timely and accurate financial reports to management for review. • Travel Coordination: Organize travel itineraries, arrangements, and reimbursement. Liaise with travel agencies and service providers.
• Scheduling: Manage the scheduling and communication of OIE team meetings, appointments, business engagements, and events.
• Executive Assistant Duties: Provide administrative support to OIE Director, including calendar management, correspondence handling, and minute-taking.
• Associated Responsibilities: Providing any other administrative support to OIE team and, where needed, to Office of Partnerships & Engagement team.

• Diploma or Degree with minimum 3 years of relevant work experience.
• Education and/or experience in finance and business administration preferred.
• Demonstrated proficiency in budget management, procurement, and administrative support.
• Familiarity with office administration software such as MS Office, SAP, Prophix.
• Strong organizational skills with the ability to multitask and prioritize effectively.

Job Scope

-Maintain monthly full sets of accounts for overseas subsidiaries on real time basis and co-ordinate with banks.
