We are seeking a detail-oriented and organized individual to join our finance team as an Accounts Receivable Clerk. The successful candidate will be responsible for managing the company's receivables, ensuring accurate and timely processing of invoices, and facilitating the collection of payments from customers.

Responsibilities:

1. Invoicing:Generate and issue accurate and timely invoices to customers based on services rendered or products delivered.
   Verify invoice details, including amounts, terms, and payment due dates.
   
2. Payment Processing:Record and post incoming payments to customer accounts.
   Reconcile payments with invoices and maintain updated transaction records.
   
3. Accounts Monitoring:Monitor accounts receivable aging reports to identify overdue accounts.
   Communicate with customers to inquire about overdue payments and negotiate payment arrangements.
   
4. Recordkeeping:Maintain organized and up-to-date records of all accounts receivable transactions.
   Ensure documentation complies with accounting standards and company policies.
   
5. Reconciliation:Reconcile accounts receivable sub-ledger with the general ledger to ensure accuracy.
   Investigate and resolve discrepancies in a timely manner.
   
6. Reporting:Prepare regular reports on accounts receivable status, aging, and cash flow projections.
   Provide financial reports to management as required.
   

Qualifications:

• Proven experience as an Accounts Receivable Clerk or in a similar role.
• Strong attention to detail and accuracy in data entry.
• Excellent communication and interpersonal skills.
• Proficient in accounting software and Microsoft Office applications.

Working Hours:This is a full-time position with standard office hours.

1. OFFICE ADMINISTRATION

· Oversee the general office administrative function, such as filing, receipt of goods, etc.

· Oversee the maintenance of general office equipment, such as photocopier, projectors and screens, cameras, and track usage by staff.

· Oversee the maintenance of general office facilities, such as security equipment, phone system, air-conditioning, hydroponics system, office furnishings, etc.

· Monitor general office supplies, such as office stationeries, papers, drinking water, pantry items, and re-stock when supply levels are low.

· Ensure that all procurement procedures are transparent and in accordance to the Standard Operating Procedures, before submission to Approving Authority.

· Liaise with the legal advisor on any legal matters regarding contracts / agreements.

· Assist in the submission of grant applications and proposals.

· Develop external relationships with appropriate contacts, e.g. auditors and statutory organisations such as the National Council of Social Service, Central Provident Fund Board, Inland Revenue Authority of Singapore.

2. PERSONAL ASSISTANT TO EXECUTIVE DIRECTOR

· Plan, organise and arrange corporate travel itinerary and meetings, including but not limited to ticket and hotel bookings, visa processing, booking other transportation and other documentations related to the travel.

· Responsible for ED’s working schedule including maintaining diary and keep track of appointment and full spectrum of secretarial support.

· Organise and ensure that ED is well-prepared for meeting,

· Set up, coordinate meetings and take minutes.

3. BOARD ADMINISTRATION

· Arrange and coordinate Board Meetings & AGM.

· Prepare Agenda, take minutes and circulate approved minutes upon approval.

· Keep up-to-date contact details of Board Members

4. IT MANAGEMENT

· Provide IT support including email management, monitoring and backup of servers, installing and configuring hardware, software, network and printers, etc.

· Liaise with IT servicing vendor for all IT related issues.

5. Recruitment And Onboarding

· Assist and manage organisation’s job postings, review applications and resumes; and prepare for interviews.

· Support the on-boarding process and orientation of new employees.

· Support and update employees’ training records as per requirements.

Part time position available. Working hours: Half day from Mon to Fri

Responsibilities:

· Handle sales of industrial metrology solutions such as optical CMMs, portable-arm CMMs, laser trackers, gear testers, X-Ray CT etc., for an assigned customer portfolio.

· Regularly and methodically visit customers, to promote the sales of products.

· You will report to the Head of Sales, who will guide you in your development and projects.

· You are expected to be able to work both independently and inter-dependently and to update your reports in our CRM on timely and effective basis for team-wide follow up and support.

Pre-requisites:

· Good recognised Degree in Engineering or Science fields related to sales focus area

· At least 3 years relevant working experience with some exposure to dimensional metrology

· A “sales heart” or passion and interest to learn the sales processes and industrial metrology

· Good English language ability to write and converse

· A team player with strong inter-personal communications skills, high integrity and discipline

· Have your own car transport

What you'll do:

1. Programme and Project Management

• Maintain overview of all key programmes activities and operations
• Support project team meetings (internal and external)
• Liaise with project leads/members and HR, Finance, Procurement, IT, Admin, etc as necessary

2. Grant Management

• Maintain relevant programme grant documents
• Provide support in collating and checking of grant documentation and processes (e.g., proposal, reporting, variation requests, fund requisitions, etc.)

3. JRC Meeting Coordination

• Convene meetings (coordinate meeting dates and agenda, coordinate logistics) Drive pre-meeting preparations (identify materials required, circulate pre-meeting materials)
• Facilitate JRC meetings (support meeting proceedings, prepare minutes)
• Coordinate post-meeting follow-ups (track action items and follow up on implementation as necessary)

4. General Administration

• Maintains in-depth awareness of SERI admin and grant policies related to responsibilities
• Coordinates general administration for the programmes teams (overseas visitor meetings, internal meetings)

5. Takes on additional responsibilities and projects as assigned

What you'll need to have:

• Degree with at least 3 years’ relevant working experience, preferably in a healthcare setting and / or grant / program management
• Understanding of the local healthcare sector, as well as public grant funding and grant management preferred
• Experience working with industry partners and overseas collaborators preferred
• Expertise in use of MS Office (word, excel, powerpoint etc) and related software is a requirement

Other criteria:

• Strong track-record in project management
• Able to think and function independently, and possesses critical thinking skills to accurately assess challenges and propose workable solutions to mitigate any identified risks
• Excellent written and oral communications skills
