POSITION OBJECTIVES

To support the Centre Manager and Management Office with Administrative duties.

DUTIES & RESPONSIBILITIES

• To maintain a record of incoming / outgoing mails and e-mail.
• To maintain Key Register at Management Office and FCC and record movement of keys.
• To set-up and maintain filing system in Management Office.
• To maintain and update the records of fixed assets and drawing schedules.
• To maintain an updated list of contact information of tenants, fire wardens, vendors, clients, and staff of Management Office etc.
• To administer request for registration/ deregistration of security access card, maintain and update the Security Card Access Register and operate the Security Access Control System.
• To administer request for season parking, maintain and update the Season Car Parking Register and operate the carpark management system.
• Manage carpark collection and liaise with finance team.
• To provide administrative support to Management Team such as calls, typing, filing, updating portal, App, organizing meetings and events, input relevant data needed for the production of reports etc.
• To keep track and maintain inventories necessary for the smooth functioning of the management office such as stamps, stationery, refreshments.
• To maintain the IT system in management office.
• To maintain, update and generate report from the OMS Online Portal including but not limited to input Customer’s Requests and Purchase Orders, and follow through on the necessary actions required.
• To maintain duty roster and leave records of site staff.
• To administer bookings of facilities such as meeting pods, EOT, etc.
• To participate and ensure that our services and activities are in compliance with the OMS procedure and standards.

DUTIES & RESPONSIBILITIES

Customer Service:

• Greet and welcome visitors, tenants, and employees in a courteous and professional manner.
• Assist with inquiries, provide information on building facilities, services, and amenities.
• Manage access control systems, ensuring only authorized individuals enter the building.

Tenant and Visitor Assistance:

• Effectively handle a wide range of concierge requests and enquiries
• Assist with issuing building access cards, parking permits, or other necessary documents.

Administrative Support:

• Receive and distribute mail, packages, and deliveries promptly.
• Maintain accurate visitor logs, tenant directories, and contact information.
• Coordinate with building management and maintenance teams for repairs, cleaning, or other required services.
• Manage helpdesk portal/ app and emails.

Security and Safety:

• Monitor security system such as access control systems and visitor management systems to ensure the building's security.
• Respond to emergency situations promptly, following established protocols and procedures.
• Report security incidents, suspicious activities, or safety hazards to management team.

Communication and Professionalism:

• Maintain effective communication with tenants, employees, contractors, and other stakeholders via phone, email, and in-person interactions.

• Preparing Tenants' circulars / correspondences.
• Prepare & carry out Tenant Survey
• To review, and if necessary, recommend and implement changes to operations procedures.
• To review all areas regularly to determine whether cost - saving measures can be implemented without compromising on quality, durability, or effectiveness.
• To set up a monitoring system to track repairs and replacements for regular update/check and control for any excessive occurrence.
• To follow up on matters after meetings.
• To set up inspection schedules on defects, cleanliness and other term contract works.
• To liaise with Property Executive (M&E) and tenants on matters related to M&E services.
• To arrange for handling of emergency situations such as power failure, burst pipe, gas leaks etc.
• To review and update Fit Our Guide, Tenants Handbook, SOPs, forms, if necessary.
• To attend meetings with clients, term contractors or any other meetings and to record and put-up minutes.
• To prepare and submit all necessary documents to authorities such as BCA and URA, or any relevant authorities as needed.
• To keep updated records of all warranties.
• To conduct daily checks to ensure that the common areas are maintained like cleaning, landscaping, etc.
• To conduct regular inspections with the term contractors (cleaning, pest control, fire protection system, lift, etc.) to ensure that the services are carried out / maintained to the standard set by the Management and or the authorities.
• To conduct daily checks on common property to ensure their soundness and proper maintenance.
• To propose / recommend improvement, repairs and upgrading works when appropriate and ensure that such are carried out properly when approved.
• To monitor and furnish regular reports on any intrusions, irregularities, or unsafe practices.
• To set procedures and contact numbers of persons to be contacted for dealing with emergency situations such as burst pipe, fire, power failures, structural damage, etc.

Tenancy Management

• Help coordinate tenant move-ins and move-outs.
• Build positive relationships with co-workers, clients, and tenants.
• Respond to tenants’ needs and maintain positive relationships and high retention levels with all tenants.
• Liaise with tenants on repairs and maintenance works.

Retail Management

• Organize regular tenants’ communication sessions for marketing updates and management of issues.
• Ensure tenants comply with key lease covenants such as permitted use, operating hours, signages, connection to POS, submission of sales data, etc.
• Administer voucher system.
• Drive campaigns and space activations.
• Manage social media platforms, websites etc.

Emergency

• To lay down procedures and contact numbers of persons to be contacted for dealing with emergency situations such as pipe burst, fire, power failures, structural damage, etc.
• To ensure the implementation and maintenance of the OMS system in accordance to establish organizational standard.

Reporting & Budgeting

• Prepare accurate, timely and completed reports, including monthly performance reports and variance reports for review by senior management.
• Prepare annual budgets and quarterly reforecasts relating to the operating expenditure under your charge.
• Manage all accounts payable for the property, including collection, and approval of invoices.
• Respond to problems and concerns and ensures compliance with rules and regulations.

To assist the immediate superior in providing administrative support to the site and to deal with the clients requests/inquiry. To organize and plan the day-to-day operations of the various sites and to ensure that the clients are always provided with a high standard of service.
