• Gathering and keeping track of business data from multiple sources, assembling reports and presentations as needed; creating, organising, and updating client files; and helping with the gathering and evaluation of business data.
• Gathers and compiles contract documentation for signature; examines the documentation; resolves disagreements in contract variations as needed.
• Works with pertinent departments to track project milestones and coordinates the timely delivery of job completion certificates for billing.
• Manages billing and invoicing in accordance with the agreed-upon terms of payment; communicates with members of the estimation team regarding project costs; monitors payment collection; and communicates with customers and legal regarding complex payment terms. Reports to management any concerns that could materially impact project delivery and cost.
• Gathers and maintains consumer input by monitoring and charting the percentage of completed customer feedback forms that are returned by consumers in order to make improvements.

Requirements:

• A diploma in business or a similar discipline.
• Three years or more of professional experience, ideally in a marine-related field.
• Experienced in negotiating with suppliers and subcontractors for intricate and specialised repair jobs.
• Strong computer, interpersonal, and organisational abilities.
• Capacity to multitask and function under duress.
• Thorough and at ease handling a lot of administrative work.

Job Responsibilities:

• Supporting and maintaining the office network systems (Microsoft, Lotus Notes, Firewall, Leased / ADSL lines, etc)
• Interface with users & identify computer related needs and provide appropriate software & hardware support.
• Assist with diagnosing & resolving problems with servers, desktops, networks & all other related equipment.
• Servicing of user’s requests and providing support for all in-house software requirements.
• Administration of the network servers.
• Carrying out the upgrading of the office systems (network, servers, desktops & related equipment / software).
• Track and maintain accurate records of all equipment, software, incidents, activities and services provided.
• Assist in the disposing of obsolete, defective or non-serviceable equipment.

Job Summary

Reporting to the Director of Events Management, the Sales Coordinator, Event Management is responsible for providing administrative support for the Events team.

Key Responsibilities

• Assist in preparation of revenue reports and annual budget and business plan.
• Assist with enquiry calls for prospect weddings/ corporate events.
• Qualifies leads received for prospect weddings and corporate events and obtain the necessary information to formulate a proposal.
• Handles telephone calls and accurately take messages, new enquiries, check availability for both function and guest rooms.
• Ensures all incoming calls and email correspondences are forwarded to the respective Events team members upon receipt and assist with email proposal responses within 24 hours.
• Check function and guestroom availability for site inspections.

• Assist in the preparation and distribution of Banquet Event Orders for upcoming events.
