IT Assistant Manager

This role reports to the Head of IT.

Job Description

1. Collaborate with various stakeholders to gather user requirements and understand user needs for new system implementation and modifications for projects

2. Analyse projects' business requirements and work with vendors to assess technical feasibility

3. Plan and lead application/platform upgrades/migrations and new application delivery/enhancements .

4. Ensure that all supported systems related to projects comply with IT policies and best practices

1. Provide technical support and guidance to end users during the transition to new or modified systems

6. Perform post live projects/third party applications/systems support and user account reviews for projects/third party applications/systems

7. Assist in the management of end-user devices, ensuring optimal performance and user satisfaction.

8. Collaborate with the IT team to draft, implement, and uphold IT policies and procedures.

9. Communicate effectively with stakeholders to provide updates on infrastructure projects and policies.

10. Participate in planning and executing IT initiatives that enhance user experience and operational efficiency.

11. Maintain documentation for IT processes, policies, and device inventory.

12. Ensure infrastructure and systems are maintain and backup are carried out accordingly.

13. Provide technical support at the Bar Exams and to internal users

14. Assist in any other projects as assigned

Job Requirements

· Degree in Computer Science, Information Systems, or IT-related disciplines

· 3-5 years’ experience in IT related projects

· A good team player who is proactive in identifying problems and recommending solutions and able to work independently, but also with various stakeholders from different departments

· Good knowledge in MS Excel, HTML, Wordpress, ASP.NET, MS Powerpoint, Power BI, application, database and reporting tools will be an advantage

· Good interpersonal skills to handle internal and external users and/or situations

• Excellent communication and team collaboration skills

Essential Duties & Responsibilities

Duties are performed throughout every work day, as necessary. Duties include, but are not limited to, the following:

• Type and edit legal and other documents in accordance with timekeepers instructions including correspondence, presentations, and ensure accuracy of copy, formatting, grammar, punctuation and syntax.
• Receive, screen and transmit telephone calls, conference calls and messages to/from attorneys, clients and staff.
• Perform secretarial functions associated with Firm administrative tasks, including processing new client/matter reports, time reports and expense reports.
• Printing, binding and collation of documents for timekeepers.
• Coordinate, meetings and appointments; coordinate travel arrangements (including air tickets and hotel accommodations), and prepare related budgets for internal approval and reporting.
• Provide secretarial assistance to visitors and lawyers whose secretaries are absent; accept overflow work from other secretaries.
• Reception coverage on rotation basis during lunch and during absence of receptionist.
• Evening, weekend and public holiday secretary coverage on rotation basis.

Essential Knowledge, Skills and Abilities

• At least 3-4 years of legal secretarial experience at an international law firm preferred
• Strong written and oral communication skills
• Proficiency in all Microsoft Office applications (Outlook, Word, Excel and PowerPoint)
• Proficiency in Adobe Acrobat, including converting, editing, comparing and combining files
• Experience with iManage Desksite, Expert Time and Chrome River is advantageous
• Proficiency on office equipment used on a regular basis including computers, printers, copier machines, binding machines, telephones and meeting room audio visual equipment
• Familiarity with travel arrangements eg flight bookings, visa requirements and applications, and accommodation bookings
• Demonstrate strong attention to detail and produce high quality/accurate work
• Ability to work independently, multitask, take initiative, set priorities and see projects through completion.
• Strong service orientation, teamwork skills and ability to respond calmly and effectively to changing priorities
