Responsibilities

• Coordinate and hands on in the events and meetings set-up, in accordance to clients'requirements
• Manage pre- event preparation and provide on-the-day support as required by clients
• Co-ordinate with clients, F&B and logistics suppliers pre / during / post for the events
• Manage quotations and administrative work related to the events.

Responsibilities:

· Managing project administration tasks, including preparation and review of documentation, progress reports, and proper filing of all data

· Assist in the preparation of tender documents, technical specifications info, and contract administration.

· Act as a liaison between project teams, clients, and stakeholders in communicating all aspect of project updates and agenda to relevant parties

· Assist project engineer / operation manager in quote preparation, cost estimate, and budget for projects.

· Preparing monthly invoices and assisting with subcontractor billing

· Handling progressive claim & final claim of variation order for respective project.

· Prepare monthly project sales reports and updates to management.

· Keep, monitor, and ensure that all confirmed quotations are supported by a client-issued Purchase Order (PO) and work order before starting any project work.

· Assist in payment collection from client.

· Handling of oversea shipment of purchases and supply of spare parts.

· Perform any other ad hoc duties as assigned by Superior.

Requirements: ·

· Degree/Diploma in Engineering/Business Administration or equivalent

· Min 2 years’ experience in coordinator / administrative roles.

· Candidates without the necessary experience but with the right attitude may be considered.

· Proactive, Meticulous & Willing to learn

· Good interpersonal and communication skills

· Proficient in Microsoft Office (Word, Excel, PowerPoint & Project)

Job Description

• Carry out duties as specified by WSH Act.
• Assist in the implementation of the EHS management system
• Ensure all site activities are carried out in compliance with applicable legal requirements.
• Carry out daily WSH inspections including machinery, equipment, plant, installation.
• Functions as the Site EHS Assessor in the verification of the hazardous works.
• Conduct EHS induction course for new employees and contractors.
• Ensure that Risk Assessment and Safe Work Procedure are brief to workers and sub-contractor.
• Identify WSH hazards and implement control measures.
• Preparation of monthly WSH reports, Risk Assessments, Safe Work Procedures and Permit to works submission in accordance with Main Contractor requirements.
• Ensure workers and sub-contractors comply with EHS Management System & applicable legal requirements.
• Maintain and monitor EHS records/ checklists.
• Participate and facilitate in Internal/External audits.
• Investigate and report WSH all incidents & near misses.
• Conduct WSH and other related training.
• Carry out any other duties as assigned by the Project Manager and Management.

Requirements

• WSQ advance certificate in WSH or Safety Coordinator training course.
• WAH assessor certificate.
• Risk management course.
• Responsible and with a good attitude.
• A team player and ability to work independently.
• Minimum 3 years experience in WSH-related industry.
• Proficient in MS Office applications.

Client Interaction and Relationship Management

• Serve as the main point of contact throughout the search process, ensuring consistent communication (via written correspondence, phone, and in-person meetings).
• Establish and maintain strong working relationships with high-level executives and their support teams.
• Uphold strict confidentiality standards when handling sensitive client and candidate information.

Document Preparation:

• Draft proposals, position specifications, and candidate resumes.
• Prepare and edit pitch decks and client proposals using PowerPoint.

Reporting and Expense Management

• Prepare monthly expense reports, assist with claims, and coordinate with Finance on invoicing.

Billing and Invoicing:

• Review and approve monthly client billing invoices for accuracy.
• Monitor accounts receivable and assist with timely collections.

Collaboration and Workflow Coordination

• Work together with office manager and other staff to streamline workflow processes.

Team & HR Support

• Provide backup telephone and administrative support for other administrators and consultants during absences.
• Assist in training new hires and temporary staff, ensuring smooth onboarding.
• Collaborate with practice EAs to coordinate ad-hoc events and business development mailings.

Communication and Coordination

• Manage a high volume of calls from various stakeholders, including clients, candidates, business development contacts, and job seekers.
• Provide comprehensive support , including complex scheduling, meeting preparation, interview schedules and follow-ups

Policy and Procedure Compliance

• Stay informed on company policies, procedures, and software updates by reviewing communications and attending training sessions.

Meeting Participation

• Organize materials for meetings, manage team reporting, and handle contributing in discussion.

Requirement:

• Min Degree in Business management or related field
• Min 5 years of experience in providing support to senior management level including calendar management
• Proficient in computer skills – Microsoft Office : Words, Power Point and Excel.
• Good communications and interpersonal skills. Ability to take initiative and build strong, productive network and relationships
