Key Responsibilities

• Drive a company van to various supermarket locations to sell and merchandise products.
• Ensure that products are displayed attractively and are well-stocked on shelves and in promotional displays.
• Monitor stock levels, manage inventory, and place orders to ensure product availability.
• Build and maintain strong relationships with supermarket managers and staff to secure prime product placement and promotional opportunities.
• Conduct regular market analysis to identify sales opportunities, monitor competitor activities, and provide feedback to management.
• Execute in-store promotions and ensure promotional materials are correctly placed and maintained.
• Maintain accurate records of sales, deliveries, and merchandising activities. Provide reports to management as required.
• Ensure compliance with company policies, procedures, and safety standards.

Budgeting & Buying

• Planning of Buying Budgets, size scales and options prior to buying with the Marketing Executive / Managing Director per season according to the projected sales targets, sell through and unit level by product category and supplier.
• Liaise and coordinate with dedicated, overseas team and coordinator design and related matters.
• Set retail prices per product to achieve budgeted margin.
• Ensure the Purchase Order is accurate and timely for each season.
• Communicate with suppliers on amendments and adjustments to the purchased orders and ensure accurate deliveries.
• Communicate closely with warehouse to supply stock to the shop floor and ensure various categories of product are delivered together especially the crucial units for each season.
• Work closely with Director to monitor weekly stock levels by category and product to identify the fast / slow moving items.
• Work out the weekly targets of various product categories to achieve the budgeted salesand sell-through.
• To ensure accurate retail prices are logged into Purchase Orders, once confirmed by Director.

Operational

• To accomplish Monthly stock takes in warehouse and retail outlet
• Assisting in stock analysis, determine markdown, documentation to transfer stock, assist in set-up and pack-up and operation of the sale.
• Receiving of stock from shipment, organize and store inventory in the proper location
• Ensure in-coming stock arrivals are up-to-date and communicated to related departments
• Run weekly/monthly reports from system to detect stocks processing irregularities
• Assist with day-to-day operations of the E-commerce operations, such as order fulfilment, inventory management, customer enquiries and web-site development.
• To collect weekly and monthly reports from outlets in order to update weekly sales report to generate sales analysis and reports to principal suppliers.

Purchase Orders

• Transferring of Buy orders into warehouse purchase orders on a timely basis.
• To create Buy Status Report and update regularly.
• To key in orders accurately upon receipt of order confirmation.
• Ensure copies of confirmed orders are distributed to the respective outlets, prior to opening of each season.

Proforma Invoices / Order Confirmation / Cancellations

• Collate customers request on product requirements and preferences in order to decide future purchases and quantity.
• Processing adhoc changes by clients relating to their orders
• To ensure all P/F invoices correspond with original order and liaise with Accounts for necessary payment.
• To pre-alert warehouse / outlets or any noted cancellations.
• To liaise with warehouse to control excess stock / short shipments and alert suppliers / outlet accordingly.
• To prioritize clearance of shipments from warehouse to stores.

Damaged Stocks

• To handle all store complaints regarding stocks received – workmanship, customer returns etc.
• To inspect defective stocks to ascertain extent and cause of damage.
• To correspond with supplier, negotiating for claim of full credit or replacement as necessary.
• To keep track of damaged stock form numbers for each outlet for accounting purpose

· Counts, sorts, and checks incoming articles; verifies against requisitions, shipping notices, or invoices.

· Responsible for handling the daily inventory outbound or inbound.

· If stocks arrive on Friday, would need to complete the stocks on the day itself.

· Works with Merchandiser to check inventory periodically to determine reordering needs and verify with records; requisitions standard stock items, supplies, or materials within established limits; notifies designated staff of fast-moving items.

· Places or changes price tags on merchandise; places tags, markers, or labels on product.

· Packs and ships packages according to instructions using boxes, packing materials, and sealing tape.

· Records or documents changes in data.

· Ensure checks to verify stock levels for re-ordering are accurate and appropriate. Update computer system to enable accurate stock levels.

· Identify and investigate inventory discrepancies and ensure they can be reconciled.

· Gathers requisitioned supplies, merchandise, or materials and prepares for delivery or pick-up.

· Conducting and assisting monthly stock count.

· Provide Customer service when needed

ROLES & RESPONSIBILITIES

1. Product Merchandising:

• Arrange and display products on shelves following company guidelines.
• Ensure shelves are always well-stocked and attractive to customers.
• Manage product freshness by rotating stock and ensuring no expired items are displayed.

2. Sales Generation:

• Engage with store managers and buyers to secure orders for restocking and new products.
• Promote additional products or larger orders to increase sales volume.
• Work towards set sales goals by managing both merchandising and sales efforts in assigned stores.

3. Customer Relationship Management:

• Develop and maintain strong relationships with store owners, managers, and key decision-makers.
• Address any issues, such as stock shortages or display problems, and provide quick solutions to ensure continuous sales.
• Provide product knowledge, handle objections, and ensure satisfaction for continued business.

4. Promotion and Display Management:

• Ensure promotional materials and products are placed according to campaign strategies.
• Measure the effectiveness of promotional campaigns and share feedback with the sales team for optimization.

5. Sales Negotiation:

• Work with retailers to secure prime shelf space for products, including negotiating for better positioning and promotional slots.
• Work with store managers to implement pricing strategies and promotional offers that align with company goals.
• Negotiate for additional display opportunities, such as end-caps, point-of-sale displays, and promotional stands.

6. Inventory and Stock Management:

• Regularly check stock levels in-store and ensure that products are reordered before running out.
• Coordinate closely with the retailer to prevent stock-outs and manage overstock situations to avoid wastage.
• Ensure timely product replenishment in line with sales trends.

7. Sales Reporting and Analysis:

• Maintain records of sales performance, orders, and customer visits, and provide regular reports to management.
• Gather insights on sales trends, customer preferences, and competitor activity to help refine sales strategies.
• Communicate customer and retailer feedback on products and promotions to the marketing and product development teams.

8. Competitor Analysis:

• Track competitor pricing, promotions, and product positioning in the stores.
• Report on competitor activities and identify potential opportunities or threats to help improve the company’s market positioning.

9. Territory and Account Management:

• Oversee and manage sales and merchandising in a specific geographic area, visiting multiple stores to maintain consistency and drive sales.
• Handle both large and small accounts, ensuring each receives appropriate attention to meet sales targets and maintain strong relationships.

10. Reporting to Sales Team/Manager:

• Regularly meet with sales management to review performance, discuss territory strategy, and align on goals.
• Keep detailed records of store visits, orders placed, promotional activity, and sales performance for future reference and management reviews.
