Key Responsibilities:

• Manage daily backlog specific for SST on New vendor introduction request and vendor data change.
• Positively support and solve the issue encountered in the onboarding activities with Supplier.
• Assess suppliers' documentation and information timely and in line with ST Policies to guarantee compliance.
• Support suppliers and internal stakeholders with the use of TPM onboarding processes and tools (Ariba).
• Ensure adherence to TPM guiding principles and processes in daily operations.

DUTIES AND RESPONSIBILITIES

● Provide administrative support to various team leads in scheduling/coordinating with volunteers (if needed), purchasing needed materials for events

● Assist in project managing, planning and execution of events such as water baptisms, discipleship classes, and other events that may be deemed necessary

● Assist in creating payment vouchers and tracking budget

● Assist in other tasks that may arise from ad hoc events or activities related to communications and video productions

● Provide administrative support to Worship Services Manager in online and in-person worship services and help in the logistical arrangements such as scheduling volunteers, ordering food for volunteers, buying ministry items like communion elements, coordinating with volunteers for briefings, and coordinating with churchgoers for announcements and service instructions

KIDS Church

● Provide administrative support to KIDS Pastor, KIDS Minister, and KIDS Administrator for KIDS Church Online and in-person service and help in the logistical arrangements for the service such as scheduling volunteers, ordering food, buying materials for crafts and bible lessons, coordinating with volunteers for technical rehearsals, and coordinating with parents for announcements and service instructions

● Help KIDS Church Administrator with curriculum planning and development

● Assist KIDS Church Administrator in preparing KIDS Church service flow, bible lessons, power truth and verse, crafts, and other items that will be needed for online and in-person KIDS Church services, Vacation Bible School, KIDS Summit, Upper Primary Camp, and ad hoc events

Discipleship Team

a) install, configure, upgrade, and maintain PeopleSoft components such as WebLogic, Tuxedo, Process Scheduler, Integration Broker, Secure Sockets Layer (SSL) and middleware running on Windows infrastructure;

b) perform PeopleSoft bundle patch and PeopleTools upgrade;

c) monitor the PeopleSoft system for performance issues, resource utilization, and system health;

d) support, bug fixes, addressing vulnerability issues/fixes of existing systems;

e) troubleshoot and resolve any issues related to the PeopleSoft environment which include networks, software, hardware, and operating systems;

f) develop and implement backup and recovery strategies for PeopleSoft databases and applications;

REQUIREMENTS

a) A Degree/Diploma in Computer Science or relevant certification courses;

b) At least 3 years’ experience in PeopleSoft Administration;

The incumbent will be supporting the programme management function in the new MSc in Strategic Analysis and Innovation (MSI) programme. This programme is helmed by NUS Business School (MSc Programmes Office).

The roles and responsibilities are as follows:

Overall Programme Management

• Ensure that the programme runs smoothly and effectively, keeping the needs of students in mind while maintaining the integrity of the programme and at the same time, aligning with the SOPs set for the rest of the MSc programmes
• Deliver service excellence in assisting students in the programme including all course-related matters, all aspects of experiential learning component, ad-hoc academic counselling and student wellness matters
• Keep data on student demand and feedback on courses to advise the Academic Directors (ADs) and MSc office for constant monitoring and review of programme offerings

Class Timetable Scheduling and Course Registration

• Coordinate, de-conflict and manage all course outlines and timetable matters related to the programme, so as to ensure standardisation and that the timelines are properly adhered to
• Communicate to the students on all matters related to their coursework in a timely manner, including preparation of user guides and conducting briefings to the students and course registration matters
• Prepare the important and necessary information to the instructors on class enrolment, student profile, teaching and assessment guidelines before the start of each semester

Student Record Management

• Monitor and track the students’ workload and progress, and respond promptly on all student matters including Leave of Absence applications, Academic counselling matters
• Coordinate the mid-term student feedback sessions. Consolidate the information gathered and monitor follow-up actions.

Faculty Matters

• Prepare the Letter of Engagement letters and process teaching payments for the instructors for each semester. Coordinate with the HR and Finance departments where necessary.
• Provide teaching support to faculty members, with resources from NUS offices and IT systems including Canvas (teaching platform), Integrated Marks Management System (IMMS), student and classroom management (CAS) matters

Exam Processing

• Track and monitor timely upload of marks by faculty members, ensuring zero discrepancy
• Compile marks and the Board of Examiners’ reports, and process students’ requests e.g. Special Consideration and appeals for results review

Student Feedback

• Prepare data for the Student Feedback System
• Compile the feedback reports for the MSc office and AD, and monitor follow-ups, if any.

Event Management and Liaison

• Work closely with the other units within the MSc office on office projects and events
