Responsibilities:

• Assist customers in daily bookings of cargo sales
• Assist in administration of cargo bookings, e.g. loading flight reservations into system / template and ensuring they are properly input, cutting of airway bill.
• Planning of daily load of flights
• Ensure smooth uplifting of shipment by monitoring cargo movement through and follow from warehouse, doing checks at cargo warehouse, attending flights at tarmac etc.
• Follow up with customers on any claims for missing or damaged cargo and any reservations queries.

3. Monitor Port Movements. Update Danaos ops module, Voyage file, Voyage Manager and Position list.

4. Plan, coordinate and monitor the pre-fixture and post fixtures requirements of the time charter fixtures:-

a) Pre-fixture

Assist Operation Manager and Chartering Officers to:

• Obtain port information for voyage suitability
• Obtain port costs estimates, whenever asked by Commercial Department
• Prepare documents for new fixtures, if required by Charterers (e.g. certificates, ships’ drawings etc)

b) Post-fixtures (clean fixed)

• Review fixture recap and study Charter Party and Rider clauses.
• Maintain Voyage file electronically (in Outlook).
• Liaise with brokers / agents for voyage information.
• Communicate Voyage orders to Master.
• Follow up with Master on Stowage plan and after review, forward to the charterers.
• Negotiation and appointment of local agents.

c) Load and Discharge Port:

Responsibilities & Key Deliverables

This role will be based in the firm’s Singapore office, and the individual will mainly be responsible for:

• Handling trade lifecycle events. This includes, but is not limited to confirmations, settlements and corporate actions/maturities/expiries/fixings of the portfolio positions.
• Performing reconciliations of trade and positions between internal systems, broker statements and the fund administrator’s system.
• Generating reports for internal stakeholders such as Front Office and Management.
• Timely response to and resolution of queries from internal and external stakeholders.
• Back up leave coverage for New York and late London shifts on rotational basis.

Experience, Requirements & Skills

• Business or Finance degree preferred.
• Good knowledge in FX, Fixed Income, OTC derivatives and other financial products.
• At least 4-7 years’ of direct operations experience in end-to-end trade lifecycle management in the financial services industry, preferably in a large bank or hedge fund.
• Meticulous and detail-oriented, with good problem-solving skills.
• Team player, with the ability to work independently.
• Able to work under tight timeline and pressure in a fast-paced environment, and able to assess which assignments to prioritise on short notice.
• Good verbal and written communication skills in English.
• Strong technical skills in Excel VBA and Python is a plus.

Job Summary:

Provide support for corporate vendors onboarding and relationship management (60%), procurement (20%), and administrative support (20%).

Job Scope:

Vendor Management

• Facilitate vendor assessment and registration to ensure due diligence and approvals before onboarding.
• Maintain an updated register of onboarded vendors and required documentation.

Procurement Management & Sourcing

• Implement sourcing and outsourcing procedures to identify, evaluate, and select vendors.
• Assist in managing direct purchasing activities.
• Act as the point of contact for vendor liaisons regarding system malfunctions and rectifications.
• Support tracking, measuring, reporting, and evaluating supplier performance through internal and external meetings.

Requirements:

• Min 3 years of relevant experience within the banking sector in procurement, outsourcing and vendor management
• Thrive on challenges in a fast-paced environment where quality and speed are of essence
