Job description:

• Works at the Functional or Program level to oversee Administration, Support Plans and Supply Change Management processes and point of contact for Customer enquiries and solution providers.
• Defines integrated logistics support requirements, prepares estimates and schedules.
• Manages Suppliers, Service Providers performance
• Coordinates development of solutions to complex Logistics support problems with product support, functions, customers, and suppliers.
• Ensure Contractual Service levels are met or exceeded as the Program Customers
• Contribute to the creation of office documentation, including daily management tip sheets, business scenarios, and desktop procedures
• Recognize specific customer demands and communicate any changes to the Planning, Asset, and Repair Team.
• Addresses recovery shortage situations and follows up with the supplier as required.
• Identifies components necessitating Return to Supplier or Scrapping actions, ensures proper documentation, returns them to the supplier, and updates the systems accordingly.
• Addresses issues with 3rd Party Logistics Providers and monitors shipments for both Forward and Reverse Logistics.

Qualifications:

• Minimum diploma in Supply Chain Management, Business Management
• Excellent communication and interpersonal skills, with the ability to build and maintain strong relationships with customers and internal teams.
• Strong analytical and problem-solving abilities.
• Detail-oriented and highly organized, with the ability to multitask and prioritize workload effectively.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.

Duties & Responsibilities:

• Manage order entry
• Receive and log customer orders received by phone, fax, and email
• Check pricing corresponds to contracts or quotes
• Check other details on customer orders, including addresses, terms, part IDs, part descriptions
• Contact customer or Masimo sales specialists for incorrect or incomplete orders
• Enter sales order details into the ERP system, including customer orders, sales demonstration equipment & product samples for customer evaluations
• Follow-up with customer on order status & backlog orders as needed
• Liaise with Masimo international internal resources and manage backorder status
• Respond to customer queries on pricing, PODs, shipment tracking, copy paperwork
• Liaise with relevant departments (internal and external) to resolve order and delivery issues
• Set-up new customers in Masimo ERP system
• Shipping Sales Orders
• Pick, pack and ship customer orders, confirming correct pricing and delivery details
• Liaise with couriers for on-time deliveries and shipments
• Check and sign off on Carriers invoices
• Receiving goods; receive in stock replenishment orders to ERP system. Visually inspect, unpack and place on shelves
• Manage customer questions or concerns regarding order status or other related issues.
• Coordinate with appropriate staff to resolve client concerns or issues relative to ongoing/completed projects or quality issues.
• Stocktaking and stock management
• Responsible for continuous improvements within customer service, logistics and distribution
• Understand commercial requirements of the market
• Contract management functions (Hospital contracts in Singapore)
• Strong knowledge of import and customs clearance activities
• Supporting administrative duties in extended capacity, as when required.
• Proven ability to lead, motivate, develop, mentor and influence associates in a changing environment
• Act as a backup or deployment to customer service functions
• Provide absence cover to other members of the team
