6. Record and file office staff protective equipment PPE distribution, and Office portable fire extinguisher annual calibration.

7. Maintain records of acknowledgement from the ship, in-house training records, and certifications.

8. Take minutes for operation meetings, deck operation meeting, various committee meetings and other meetings (as a backup).

9. Create, edit, and upload Memos, Circulars, bulletins and other documents in HTML format or any other format in the document management system of the fleet management software.

10. Collate the data and assist in generating reports from the fleet management software.

11. Carry out other ad hoc duties assigned by the Management.

Job Description:

• Perform daily administrative support, document control, Tracking and timely response relating to the Project Team and Sites' Operations.
• Liaising with the Site Management or Property Owners to ensure that work is carried out smoothly with minimal inconvenience caused.
• To deal with requests and handling complaints, conflicts and feedback pertaining to the project. (E.g. From the Public, Site Management and/or Property Owners)
• Ensuring that work carried out at the site is in accordance with the requirements by the Management or Property Owners.
• Preparing and sending annexes, letters or reports to the relevant Authorities as and when needed.
• Ensure that notices are put up at the sites to keep the public informed of the works being carried out.
• Perform all other duties or tasks as assigned by superior.

Requirement:

• Good command in English and excellent communication skills, bi-lingual preferred (verbal and written).
• Diploma or Degree in Public Relations, Mass Communications, Journalism or a related field.
• Minimum 3 years’ relevant experience working in a PRO in Construction industry, preferably (PUB project’ working experience would be an added advantage).
• Must be able to speak in both English and Mandarin, as the role requires liaising with clients who speak either language.
• Min 2-5 years of relevant experience in the Construction industry.
• Meticulous and attentive to details.
• Able to work well independently and in a team.

Job Responsibilities

• Ensures accuracy in cashiering duties, operates the P.O.S. machine, and handles cash efficiently.
• Keeps retail shelves fully stocked and replenished.
• Provides product knowledge and assists guests with gift selections.
• Identifies and communicates merchandising opportunities to management.
• Assists with monthly inventory stock takes.
• Supports the execution and maintenance of all visual displays in the shop.
• Ensure accuracy of order confirmations and invoices from suppliers.
• Coordinate with the manager to verify retail prices and ensure alignment.
• Track and follow up with suppliers to ensure timely deliveries.
• Address issues by liaising with suppliers and stores.
• Monitor stock levels of key items, manage weekly replenishments, and follow up with re-orders as needed.

Job Requirements

• At least 1 year of relevant experience in the retail industry.
• Proficient in Microsoft Excel and Office.
• Strong sense of urgency, with the ability to multitask and adapt to changing needs.
• Excellent communication and interpersonal skills, with a willingness to learn.
