Order Entry and Logistics Coordinator

Summary:

Candidate will be responsible for the triage and processing of Service Orders. These Service Orders are related to the coordination of new equipment installations for commercial vessels that have global sailing patterns.

The ideal candidate may have experience working for a Fleet Manager or a Maritime hardware supplier coordinating projects/services on vessels. Or comparable work experience in Field Service Operations for land-based telecommunications.

Essential Duties and Responsibilities:

Include but are not limited to the following:

• Triage and process Service Orders for KVH managed installations (Asia Pacific Region)
• Service Order entry into Baan ERP system
• Coordinate logistics requirements with Asia Pac Sales managers, customers or consignee, via phone and email, to ensure proper delivery of product
• Verify shipping and consignee/forwarding agent information
• Coordination with vessel sailing schedules
• Determination of proper shipping method
• Freight quotes with proper of Incoterms
• Provide needed shipping documentation for country specific Customs clearance
• Liaise with KVH functional groups as needed
• Sales Department – receiving, checking and processing new orders
• Finance Department – unblock orders and receive proper pre-payment from customer as necessary
• Shipping Department – ensure proper delivery terms and deadlines are communicated
• Coordinate service operations including scheduling and distribution of work for technicians, utilizing Salesforce to generate and manage work orders.
• Responsible for updating Salesforce with customer and vessel information
• Enter RMA orders (Return Materials Authorization) and follow up on returns related to Decommissioned units.

Qualifications/ Prerequisites:

• Minimum high school diploma or GCE “A” Level or equivalent required; Diploma.
• Fresh Graduates are welcome

Salary commensurate with qualification and work experience

Responsible to ensure compliance with the accounts payable processes. These include AP invoices verification, payment authorisation and processing payment related to AP, reconciliation of AP ledgers, transaction validation including but not limited:

1. Perform various closing transactions each month (including SAP transactions) and prepare monthly/quarterly HQ reports.
2. Perform vendors’ SOA reconciliation, inter-company balance, maintenance of master file for customers’ creation and update cash flow forecast management.
3. Prepare tax-related work, including processing withholding tax payments to IRAS and assigning GST codes to invoices.
4. Verify employees' claims with supporting documents and ensure GST treatment aligns with the reimbursement policy via Concur.
5. Ensure timely posting and processing of all AP-related vendor invoices via Esker and SAP, arranging payments within due dates (including employee reimbursements).
6. Prepare and check incoming GST permits for reconciliation with SAP or bank deductions.
7. Prepare external/internal audit schedules monthly and yearly as required by regulations.
8. Any other tasks as may be assigned by the superior within reason.

Qualifications / Requirements

• Minimum a Degree in Accountancy, equivalent or related fields, Diploma holders with extensive supervisory experience may also be considered.
• At least 2 years of Accounts Payable experience.
• Proficient in SAP FICO module and Microsoft applications (Excel, Word, PowerPoint presentation).
• Good working knowledge of IFRS & Singapore Tax Regulations.

Responsibilities

Functions and Responsibilities

Job Description

The incumbent will provide administrative support to the Undergraduate Studies Section in the Dean's Office, Faculty of Science. Duties and responsibilities include, but are not limited to the following -

1) Faculty Co-ordinator for Study Abroad Programmes (SAP)

• Plan, manage and coordinate SAP which covers university-wide and faculty-level global partnership with overseas universities.
• Work closely with Global Relations Office (GRO) on the student exchange programme (SEP) allocation and student placement.
• Manage the administrative processes that include student recruitment, selection interview, pre-departure briefings, module mapping and credit transfer for outgoing students in all SAP.
• The range of programmes that the team handles include the following: Student Exchange Programmes (SEP), French Double Degree Programme, Global Classroom, Summer/Winter Programmes, Global Science Summer Programmes, Incoming/Outgoing Summer Undergraduate Research Opportunities Programme in Science (UROPS), Non-graduating, non-exchange programmes, Financial Assistance Schemes (e.g., NUS Awards for Study Abroad, Science Student Overseas Exposure Fund)

2) Student support for outbound and inbound students

• Handle student enquiries/appeals efficiently.
• For inbound students, to also assist in the logistics required (e.g., accommodation).

3) Publicity

• Manage the Faculty's SAP publicity materials
• Update collaterals, website, student portal etc to ensure information is accurate and timely.

4) Others

• Coordinate and answer enquiries (counter, telephone, email) from students and the public.
• Take minutes for Undergraduate Studies/Student Life meetings.
• Provide assistance at University/Faculty level events such as Open House, Freshmen Orientation Briefing, and Commencement.
• Any other duties as assigned by the Vice Dean.
