PRIMARY DUTIES AND RESPONSIBILITIES

Job Description

• To provide excellent customer service and product knowledge to the customer.
• Responsible for the daily operation, merchandising, sale, stocking, issuing invoices and display of the parts
• Manage and control parts and warehouse material inventory, ensuring monthly stock take conducted and tally with system quantity.
• Coordinate with various departments on procurement requests.
• Sourcing for new suppliers for various materials.
• Assist to liase for office maintenance servicing.
• Maintain CCTV Database.
• Any other Ad-hoc duties.

Report to: General Manager

Salary Range: $3800 - $4800

Min Qualifications / Experience:

Diploma/Degree holder with 7-10 years of relevant experience

Job Skills Required:

Purchasing skills and well-versed with materials specifications

Responsible for/authorised to:

a) Responsible for the efficient management of Procurement Department and ensure all purchases are made at the best price and terms with the required quality.

b) Supervise a team of purchasing personnel.

c) Procurement planning and controls to ensure timely delivery of materials and services.

d) Review outstanding orders fortnightly.

e) Maintain a list of approved reliable vendors and subcontractors and evaluate their performance periodically.

f) To set up and maintain the catalogue library and price records.

g) Ensure proper control, issue and implementation of Procurement procedures.

h) Check all Purchase Orders worksheets before issuance of official Purchase Order.

i) Verify and approve Purchase Order before joint submission to General Manager for approval.

j) To arrange for sub-contracting and purchasing committee with the relevant department representatives to evaluate and select contractors and suppliers.

k) Maintain and update price records for quotations for tender purpose.

l) Monitor and update overseas materials status.

m) Broaden the supplier base and continuous qualification / auditing of new sources of vendors and subcontractors.

n) Any adhoc assignments given by General Manager.

• To source potential suppliers in line with specification/Sending RFQ's
• To evaluate and update new/existing vendors into Approved Vendor List
• To coordinate with Project Team and Suppliers for any technical clarification
• To perform negotiations with short listed supplier(s) to the lowest best price with timely delivery.
• To ensure the appropriate terms and conditions are specified on the purchase order
• To prepare Bidtabs for Approval
• To prepare Purchaser's Terms & Conditions for purchases more than SGD 150K
• To coordinate with Project Team for any urgent purchase
• To arrange Training (Introduction & Product Presentation from Vendors)
• To process order and ensure timely delivery from the vendor
• To coordinate with Material/Logistic Controllers for GR/GI issues, if required
• To assist Finance for invoices with issues
• To assist in expediting for deliveries if required
• To send Approved Purchase Order to Vendor
• To coordinate with Vendor for any return or replacement of defective materials
• Issue PO if necessary
• To update and report to Supervisor on the above
