The Association Management Administrator is responsible for the day-to-day management and administration of the association’s operations. This role ensures efficient functioning across all departments, provides support to members, and implements initiatives aligned with the association’s goals. Key Responsibilities:

• Administrative Support:Manage and oversee daily administrative operations of the association, including scheduling meetings, preparing reports, and maintaining records.
  Serve as the primary point of contact for members, handling inquiries, registrations, renewals, and other requests in a timely manner.
  Maintain the association's membership database, ensuring accurate records and preparing membership statistics and reports as needed.
  Assist in managing the association’s website and social media platforms, keeping content up to date and relevant.
  Organize and prepare for meetings, conferences, workshops, and events, including taking minutes, managing logistics, and coordinating with vendors and stakeholders.
  
• Member Services:Respond to member inquiries and provide exceptional customer service to maintain a positive relationship with all members.

  Assist in coordinating membership drives and campaigns to grow the association’s member base.
  
• Financial & Operational Management:Assist with budget preparation, financial tracking, and reporting, working closely with the finance team to ensure compliance and financial health of the association.
  Manage invoicing, payments, and renewals for membership, events, and sponsorships.
  Oversee procurement of office supplies, event materials, and other resources as needed.
  
• Board and Committee Support:Provide administrative support to the Council /EXCO and various committees, including scheduling meetings, distributing agendas, and following up on action items.
  Assist with the preparation of board meeting materials and reports.
  Coordinate communication between the board, committees, and members to ensure smooth operations.
  
• Event Coordination:Assist with planning and execution of association events such as annual meetings, conferences, networking sessions, and educational programs.
  Manage event logistics, including venue selection, catering, registration, and on-site support.

Qualifications:

• Bachelor’s degree in Business Administration, or related field (preferred but not required).
• 1-2 years of experience in an administrative or management role, preferably within an association or non-profit organization.
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills.
• Ability to manage multiple tasks and prioritize workload effectively.

JOBSCOPE FOR SALES EXECUTIVE

1) Handle sales inquiries, follow up with potential clients, and close deals.

Generate new leads through networking and business development

efforts.

2) Coordinate property viewings with tenants and potential clients,

showcasing features and benefits to secure bookings.

3) Prepare and manage sales documents like quotations, service

agreements, and invoices. Ensure timely payments are collected.

4) Oversee guest check-in and check-out processes by coordinating with

housekeeping, operations, and finance departments.

5) Address customer complaints and feedback professionally, resolve

issues (with management if needed), and ensure high levels of customer

satisfaction.

6) Build strong relationships with corporate clients to secure long-term

business partnerships.

7) Monitor market trends, competitor activities, and customer feedback

to identify areas for improvement and growth opportunities.

8) Update and manage social media platforms (Facebook, Instagram,

We are seeking a highly organized and detail-oriented Administrative Executive who will provide comprehensive administrative support to ensure the smooth operation of daily activities.

This role includes 80% general administrative duties and 20% secretarial duties supporting the General Manager.

The role involves significant minute-taking responsibilities, ensuring that meetings are well-documented with clear action points. The ideal candidate will possess strong organizational, multitasking, and communication skills, with the ability to handle confidential matters with discretion.

Key Responsibilities:

1. General Administrative Support (80%)

• Office Management: Oversee office operations to ensure an efficient working environment, including supply management, coordinating maintenance, and liaising with vendors.
• Documentation: Manage and maintain filing systems (both electronic and physical) for easy retrieval of information.
• Meeting Coordination: Organize internal and external meetings, prepare meeting materials, and coordinate logistical details.
• Minute Taking: Attend meetings, take clear and accurate minutes, and distribute them to relevant stakeholders promptly. Follow up on action items to ensure completion.
• Travel & Logistics: Arrange travel, accommodation, and itineraries for employees or visitors as needed.
• Correspondence: Handle incoming and outgoing communications such as emails, letters, and packages. Respond to routine inquiries and escalate urgent matters as necessary.
• Event Support: Assist in organizing company events, meetings, and team-building activities.
• Data Management: Maintain databases, spreadsheets, and internal tracking systems to ensure up-to-date and accurate data entry.

2. Secretary to the General Manager (20%)

• Calendar Management: Proactively manage the GM’s calendar by scheduling appointments, meetings, and engagements, ensuring no scheduling conflicts.
• Confidential Support: Handle sensitive information and maintain confidentiality in all communications related to the GM's office.
• Report Preparation: Assist in preparing reports, presentations, and documents for the GM’s meetings and engagements.
• Communication Liaison: Act as a point of contact between the GM and internal/external stakeholders, screening calls and managing requests efficiently.
• Meeting Coordination for GM: Arrange and prioritize meetings for the GM, including preparing agendas, coordinating logistical details, and taking minutes during GM-led meetings.
• Task Management: Assist the GM with follow-up tasks and ensure timely completion of action items from meetings and interactions.

The Marketing Executive role is to lead the development of yearly marketing calendar, overview client relation, events organize, manage department budget, promotions, campaign. He or she will be responsible for formulating strategies for in-store events, identifying appropriate partners, driving traffic to stores and building a strong customer database. This individual will also be a key contributor to the success of seamless execution of all marketing initiatives with the objective of driving traffic to stores, building and elevating the brand.

· Planning and execution of all marketing activities (organize event, collaboration with other brand, outsourcing livestreamer, etc).

· Develop, planning and manage the yearly marketing calendar and event calendar

· Analyzing and keeping informed of market trends and preparing forecasts.

· Increasing brand awareness and market share.

· Overseeing branding, advertising, and promotional campaigns.

· Managing the marketing department's staff works and job allocation.

· Partner with email, performance marketing and web teams to design, test and evolve lead nurturing tactics.

· Create, maintain, and conduct analytics reporting across multiple platforms and extract key insights for future campaign development and go-to-market strategies.

· Lead the execution of marketing programs from start to finish, leveraging internal support and driving collaboration.
