Key Responsibilities

• Lead the store team to ensure collective duties & responsibilities are fulfilled.
• Responsible for coordinating with Logistics team in Singapore for purchasing direct material.
• Process purchase orders and handle order placement to meet production demand.
• Coordinate with Logistics team in Singapore on finished goods for overseas shipments.
• Responsible for raw materials position to adhere to target inventory policy.
• Liaise with Custom/Exim Department on shipment issues.
• Monitor and ensure the store inventory system is always updated.
• Work closely with production on exception materials.
• Prepare and submit custom documentation.
• Perform quarterly monitoring of local purchase items through price review and evaluate supplier performance.

Job Description:

• Answering customer inquiries in a timely manner, managing customer accounts, following up with customers for administrative purposes, and provide troubleshooting assistance to ensure customer centricity and improve customer experience.
• Ensure timely client onboarding through collaboration with Sales and Compliance teams, following up with customers regarding their account openings
• Handle pre and post transaction customer queries/ requests and collaborate with the Ops/ Compliance/ Tech/ Treasury teams on all payment related issues.
• Clear all pending compliance queries timely with the banks and liquidity partners.
• Understand fully and be an expert on all internal platforms, systems, processes, reporting, and the CRM platform.
• Managing sales tracking tools, performing data entry tasks, and compiling reports for the Sales Team.
• Recording and identifying sales trends and liaising with account managers to develop sales strategies.
• Reporting any unusual activity to your supervisor.

Requirements:

• A Diploma or equivalent.
• A bachelor's or associate's degree in marketing, business, or a related field may be advantageous.
• Experience in administration and high-volume office work may be advantageous.
• Strong analytical, organizational, and time management skills.
• Excellent team working, interpersonal, communication, and customer service skills.
• The ability to multitask and responsibly produce thorough and meticulous high-quality work.

KEY ACTIVITIES / ACCOUNTABILITIES

• Sea Export

Arrange freight services for customers, aligned with customer’s freight management needs and in line with (CS)SOP, GW and industry policies and procedures, in order to ensure customer satisfaction.

• Review customer’s freight requests and select appropriate carrier.
• Coordinate gathering and hand-over of freight documents.
• Coordinate customs clearance with customs brokerage department.
• Monitor and confirm arrival of freight to customer.
• Execute client contact and align customer needs and services provided.
• Sea Import

Monitor and coordinate inbound shipments for customers, in line with (CS)SOP, GW and industry policies and procedures, in order to ensure customer satisfaction.

• Anticipate inbound shipments and proactively track shipments.
• Communicate with carrier to confirm shipment arrival and release.
• Coordinate customs clearance and delivery to customer.
• Execute client contact and align customer needs and services provided.
• Arrange gathering and hand-over of freight documents.
• Administration

Gather documents and information, process and set-up files and ensure proper handover of files and documentation, in line with Geodis and industry policies and procedures, in order to ensure proper administration of files and enable a clear overview of operational activities.

• Gather information and documentation from customers and set-up files in the operational system.
• Break down documents from shipper and calculate charges, process in operational system.
• Close files, pass invoices and credit memos.
• Ensure proper hand over of documents.
• Customer Business Implementation

Implement new customer contracts and coordinate the correct execution of accompanying OP’s, aligned with GW and industry policies and procedures, in order to ensure customer satisfaction.

• Provide support with development of new (CS) SOPs in cooperation with sales and operations.
• Align new customers SOPs within team and provide colleagues with support.

ESSENTIAL EDUCATIONAL AND / OR TRAINING QUALIFICATIONS & CERTIFICATES

• Academic work and Vocational & thinking level.

PREFERRED EXPERIENCE AND KNOWLEDGE

• Great multimodal experience and operational skills
• Knowledge of customs
• Needs preferably 5 years of experience within freight management.

NECESSARY TECHNICAL / FUNCTIONAL SKILLS

• Good communication skills
• Fluent in English language
• Able to work under pressure.

Responsibilities:

• Simple set of accounting

• Responsible for monthly accounting reconciliation

• Data entry for maintenance of proper filing system, ensuring all records are in proper order.

• Prepare monthly statement claims, GST, CPF, and related bills.

• HR duties to include payroll, and processing CPF submission.

• Responsible for ensuring clients' payments is paid on time.

Knowledge & Skills:

• Diploma with at least 3 years of relevant experience in Admin/Accounts/HR functions.

• Able to work independently in a fast-paced environment.

• Proficient in Microsoft Office
