Responsibilities:

• Establish client’s requirements and undertake feasibility studies
• Attend onsite and consultants’ meetings and liaise with clients, architects and associate consultants in the administration of projects
• Interpret engineering drawings and specifications to calculate project costs
• Prepare various main building contracts, piling contracts and nominated sub-contracts for tender and contract formalization
• Measure and take off quantities for architectural and structural work elements
• Administer pre and post contract and consultancy work
• Assess variation orders, prepare interim valuations, cost plans and budget studies
• Compile contract documents for execution
• Understand and adhere to the statutory building regulations
• Undertake cost analysis for repair and maintenance of project work
• Allocate work to subcontractors
• Analyze outcomes and write detailed progress reports
• Maintain awareness of different building contracts in current use
• Valuing completed work and arrange payments
• Provide advice on contractual claims

Requirements:

• Degree or Diploma in Building / Quantity Surveying or equivalent qualification
• 3 year experience within pre and post contract in consultancy / Construction is preferred but not a must
• Individuals of the highest caliber who are confident, driven and with excellent interpersonal skills
• Organized and able to handle stress

Executive Support:

Calendar Management: Organize the Executive’s calendar and prioritize appointments amidst competing demands.

Travel Coordination: Manage travel arrangement and hotel bookings ensuring itineraries are planned proactively.

Expense Management: Prepare and submit expense claims for the Executives.

Liaison Duties: Serve as a point of contact with external parties for various projects.

Meeting Coordination: Schedule and coordinate internal and external meetings, including sourcing venues for events and conferences.

Presentation Assistance: Help prepare presentations and other deliverables as needed.

Office Maintenance: Ensure conference rooms and meeting areas are well-maintained and ready for use.

Hospitality Support: Receive guests and prepare drinks and food for the Executives, Chairman and guests.

Administrative Support:

Communication Management: Handle phone calls, manage daily mails, welcome guests, and oversee deliveries.

Departmental Support: Provide administrative assistance to Marketing, HR, Operations, and Finance teams.

Claims Verification: Verify staff claims through the Info-Tech system, ensuring all documents are complete and accurate.

Supply Management: Consolidate stationery requests for clinics and office and place orders for timely delivery.

Invoice Processing: Verify delivery orders, purchase orders, and invoices; request payments as necessary.

Event Coordination: Arrange hampers, cakes, gifts, and venue sourcing for company events.

Office Maintenance Contact: Act as the point of contact for equipment maintenance and office needs.

Roster Verification: Oversee and upload verified clinic's weekly roster.

Report Preparation: Prepare and submit accurate claims reports for Finance internal charging

Bizsafe Risk Management: Serve as Bizsafe Risk Management/ Risk Assessment Team Leader for Operations.

Corporate Dental Programme: Assist Marketing team with the Corporate Dental Programme initiatives.

Statistics Extraction and Compilation: Compile and prepare statistics for FDC and liaise with other dental groups in Oracare for the required statistics reporting.

Operations Support (On standby)

Compliance: Ensure all clinics comply with the regulatory requirements and meet auditor’s standards. Function as point of contact with respective government agencies e.g. MOH, NEA, etc. Ensure accuracy and timely submission of Medisave and CHAS claims as well as regulatory compliance during audit.

Audit Coordination: Facilitate Plato audit as required

Responsibilities

• Assist sales team with the preparation of all sales and tender related documents, costings and material submissions.
• Prepare sales quotations and proposals.
• Provide sales and administrative support to the Sales Team.
• Follow up with factories on document requirements and ensuring that all submissions are properly presented and submitted on time.
• Supporting the sales team in responding to customer inquiries and assisting to resolve issues, where appropriate.
• Liaise with internal teams and colleagues from Procurement, Logistics and Finance.
• Sales order processing from Quotation, Sales Order, Purchases Order to Delivery Order.

Requirements

• Minimum 1 or 2 years of experience in project management or sales support function.
• Enjoy working with numbers and good with excel, powerpoint and words.
• Diploma in Business management or Electrical engineering
• Knowledge in Lighting Simulation Software (Relux/Dialux EVO) will be an advantage.
