Job Summary:We are seeking a proactive and organized Personal Assistant to provide comprehensive support to Aesthetic Doctor. The ideal candidate will excel in multitasking, possess excellent communication skills, and be highly adaptable in a fast-paced environment. The Personal Assistant will be responsible for managing administrative tasks, coordinating schedules, and ensuring seamless day-to-day operations.

Key Responsibilities:

• Calendar Management: Maintain and manage the employer's schedule, including scheduling appointments, meetings, and events. Coordinate with relevant parties to ensure efficient use of time.
• Communication: Serve as a point of contact for both internal and external communications. Screen and prioritize emails, phone calls, and messages, responding on behalf of the employer when necessary.
• Travel Arrangements: Organize travel itineraries, including booking flights, accommodations, transportation, and any necessary travel documents. Ensure smooth travel experiences and provide necessary information and directions.
• Document Management: Prepare, edit, and proofread documents, presentations, and reports as required. Maintain an organized filing system for both physical and electronic documents.
• Correspondence: Draft, review, and edit correspondence, memos, and other written communications. Maintain professionalism and attention to detail in all written interactions.
• Task Coordination: Assist in coordinating various tasks, projects, and assignments. Collaborate with team members and external stakeholders to ensure projects are on track and deadlines are met.
• Meeting Support: Arrange and coordinate meetings, conferences, and events. Prepare meeting agendas, materials, and minutes as needed. Ensure meeting spaces are set up and equipped appropriately.
• Data Management: Manage and update databases, contact lists, and relevant records. Ensure accuracy and confidentiality of sensitive information.
• Expense Management: Track and reconcile expenses, prepare expense reports, and submit for approval. Maintain records of expenses and budget allocations.
• Errands and Logistics: Handle various errands and logistical tasks as required, such as purchasing supplies, picking up items, and coordinating deliveries.
• Ad Hoc Support: Provide additional support to the employer as needed, which may include personal tasks and projects beyond traditional administrative duties.

Qualifications:

• Proven experience as a Personal Assistant, Executive Assistant, or similar role.
• Strong organizational and time-management skills.
• Excellent verbal and written communication abilities.
• Proficient in using office software and productivity tools (Microsoft Office, Google Workspace, etc.).
• Discretion and ability to handle confidential information.
• Ability to anticipate needs and take initiative.

Key Responsibilities

Talent Acquisition

1. Lead end-to-end recruitment processes, including job postings, candidate sourcing, pre-screening, and selection.
2. Collaborate closely with hiring managers to understand staffing needs, ensuring the timely placement of qualified candidates.

Employee Relations

1. Proactively address employee relations issues, concerns, and conflicts, fostering a positive and inclusive workplace culture.
2. Conduct thorough investigations and provide guidance on disciplinary actions and conflict resolution.
3. Promote effective communication and teamwork among employees.

Policy Implementation

1. Develop, update, and communicate HR policies and procedures in compliance with relevant employment laws and industry best practices.
2. Ensure consistent application and enforcement of policies throughout the organisation.

Compensation and Benefits Administration

1. Administer and manage employee compensation and benefits programs.
2. Stay informed about industry trends and benchmarks to ensure competitive compensation structures.
3. Coordinate benefits enrolment, changes, and communication.

Performance Management

1. Implement and manage performance appraisal systems.
2. Provide guidance to managers on performance improvement plans and goal setting.
3. Foster a performance-driven culture within the organisation.

Office Administration

1. Oversee office maintenance.
2. Manage office equipment such as copiers and water dispensers.
3. Ensure monthly replenishment of pantry items.
4. Fulfil stationary orders upon request.

HR & Payroll Administration

1. Prepare on-boarding & off-boarding process for newly hired and resigned staffs.
2. Maintain accurate and up-to-date employee P-file and leave records
3. Ensure manual monthly payroll is calculated and submit for approval and to Finance for processing.
4. Maintain and upkeep payroll file with full accuracy.
5. Issue monthly payslip via email.

Qualifications and Skills

1. Bachelor's degree in Human Resources, Business Administration, or a related field.
2. Minimum of 3 years of experience as an HR Generalist or in a similar role.
3. Strong knowledge of MOM, CPF and IRAS regulations in Singapore.
4. Excellent communication and interpersonal skills.
5. Demonstrated ability to handle confidential information with discretion.
6. Strong organisational and problem-solving skills.

Job Responsibilities:

Receptionist:

• Perform general reception duties by receiving incoming calls and visitors to the department or area.
• Handle outgoing/incoming mails, and liaise with couriers/dispatches for incoming and outgoing documents and goods deliveries.
• Responsible for the upkeeping of meeting rooms, reception area and pantry. Including Stock take of stationary/pantry needs and replenish orders.
• Assist in all the firm’s events, including dinner & dance, cocktail receptions, conferences.
• Arrange gifts for staff that include long service award trophies, new-born gifts, get-well gift, condolences wreaths etc. as needed.
• Prepare HQ onboarding for new employees which includes cleanup and prepare new hire’s onboarding kit. (ie Stationery, Work Station, Laptop.)
• Other ad-hoc administrative duties when required.

Accounts

· Invoice processing in compliance with policies on a daily and weekly basis, delivering high quality service.

· Execute account payable processes in a timely, efficient, and accurate manner.

· Process petty cash claims and data-entry of journal

· Liaise with site personnel for invoice verification.

· Perform data entry of incoming invoices, matching of delivery order, and filing of documents.

· Perform all duties in accordance with company policies, processes, systems, and procedures.

Job Requirements:

- Min GCE ‘N’/’O’ levels or equivalent

- At least 1 year relevant experience in administrative works

- Ability to work independently and as part of a team

- Proficiency in Microsoft Office and Excel

- Pleasant personality, positive, friendly, polite and cheerful

- Good telephone etiquette/communication skills

- Construction industry will be preferred.
