This position works closely with the Facilities Manager and Cluster manager, with focus on day to day operations, to ensure full functionality of the workspace to support the Business.  This includes ensuring continuous operations for reception, security, maintenance, mail room and janitorial services, and other services as needed to meet the needs of their customers.   

RESPONSIBILITIES 

• Create pleasant work environment for employees 
• Develop intra-office communications to share information about the building (ie, landlord sponsored events, equipment repairs, changes in procedures, etc)   
• Ensure reception, security, mail room, janitorial services are continuously meeting the needs of associates and guests 
• Receive and manage daily requests from associates, engaging landlord maintenance support or other vendors as needed 
• Respond to associate requests in a timely and professional manner 
• Create and maintain service level agreements (SLA’s) with vendors, audit services on a regular basis to ensure service quality is met  
• Obtain vendor price quotations, prepare POs, monitor invoice processing  
• Drive cost savings initiatives, identify services to adjust or bid  
• Liaise with site landlords to ensure that the agreed program for planned building maintenance is implemented and monitored 
• Ensure compliance with local regulations 
• Liaise with ESG team, execute against strategy and ensure sustainability related data delivery per country  
• Coordinate with Project Manager(s) to execute renovation and relocation plans  
• Work closely with Corporate Security to implement safety standards on site   
• Collaborate with Global Crisis Response team, to work through situations, such as earthquakes, hurricanes, theft, etc.  
• Collaborate with FM on site team members  

Responsibilities:

• Manage inbound sales lead responses through phone and email and working through the qualification process
• Provide great customer service to facilitate relationship and sales processes, capture key insights, solve problems, and identify and pursue new growth opportunities
• Remain in consistent contact with established customers to ensure their satisfaction with the products and the company's services.
• Regular update of account, leads, contracts in CRM
• Conduct sales pitch and prepare quotes and proposals
• Follow through on leads, contacts, and commitments in a timely fashion
• Utilize established Supply Chain processes and procedures to ensure timely and efficient delivery of information and material to internal and external customers
• Keep management informed of all activities, including timely preparation of reports
• Work with other internal & external parties to optimize sales activity efficiencies
• Propose Marketing / promotion activities relevant for the market to grow Sales
• Work together with e-commerce partner to grow online sales
• Manage & develop marketing campaigns, & merchandise together with the Sales team for Singapore

• Ensures smooth operation of administrative tasks within the engineering department
• Manage Project documentation, facilitate communication, and provide essential support to engineers and project managers
• Tracking of Building licenses and Engineering Contracts
• Manage incoming and outgoing mail and correspondence to ensure timely communication
• Maintain and update office records, databases, and files for documentation
• Attention to detail and Organisational skills
• Proficient in Microsoft Office, Excel, etc
• Basic understanding of engineering terms
• Understand basic engineering parts and tools
• Receiving of basic delivery items

The Assistant Sales Manager mission is to primarily promote the Hotels and where possible, hotels belonging to the chain in his/her area/region. To achieve optimal sales at the best possible conditions for the company.

To ensure the smooth running operation of the commercial section in consultation with the Director of Sales on all matters.

The performance of the Assistant Sales Manager will be determined solely by the productivities of the corporate section as well as the overall results of the Hotel.

To assist the Director of Sales on other delegated duties, e.g. organizing cocktails/ events etc.
