Responsibilities:

• IT infrastructure (Hardware and software), POS system installation and maintenance including remote troubleshooting
• Liaising with third part vendors for new store infrastructure setup
• Updating the store systems if it is needed
• Provide Level 1 and Level 2 support and standby for the store operation
• Conduct training new Supervisors in how to use all systems and how to handle minor technical issues
• Prepare system manual guidebooks of all software systems and editing for any updates
• Participate in UAT testing before GO-LIVE and release the new version
• Update windows and security patches of store POS and laptop and ensure cybersecurity
• Maintain store IT inventory list and update documentation on IT asset management
• Facility Management: Ensure the office space is in good condition by liaising with vendors or managing minor repairs as necessary
• Other ad hoc duties as assigned by superior

Requirements:

• 5 days work week (weekend included), (standby allowance)
• Minimum Diploma in Information Technology or equivalent
• At least 2 years’ working experience in the related field - preferably with retail sector
• Good knowledge of Microsoft windows operating systems
• On-site support and resolution of all software and equipment issues
• Excellent analytical, troubleshooting and communication skills
• Ability to work in a fast-pace and dynamic environment
• Good understanding of Microsoft SQL server and scripts

Human Resource Responsibilities:

• Recruitment & Onboarding: Assist with the hiring process by coordinating job postings, reviewing resumes, scheduling interviews, and facilitating the onboarding of new employees.
• Employee Records Management: Maintain and update employee files, records, and HR databases to ensure accurate and confidential information.
• Employee Relations: Address employee queries related to HR policies, workplace concerns, and benefits, and escalate issues as necessary.
• Payroll Support: Assist with processing payroll by gathering data on working hours, absences, overtime, and other payroll-related details.
• Training & Development: Coordinate training sessions or workshops, track employee progress, and help with organizing professional development programs.
• Performance Management: Help administer performance appraisal processes, track employee performance reviews, and assist in setting up meetings between employees and managers.
• Compliance & Policies: Ensure compliance with labor laws and internal policies, and assist with maintaining and enforcing workplace policies (e.g., attendance, health and safety).

Administrative Responsibilities:

• Office Management: Oversee general office operations, including managing office supplies, organizing office layouts, and maintaining a clean and efficient work environment.
• Scheduling & Coordination: Manage and coordinate schedules for executives, meetings, conferences, and travel arrangements.
• Communication: Handle internal and external communications, including emails, phone calls, and correspondence with vendors, suppliers, and clients.
• Documentation & Reporting: Prepare reports, documents, and presentations for leadership, and assist in organizing company-wide events, meetings, and conferences.
• Health & Safety: Ensure that the office complies with health and safety regulations, and assist with organizing workplace health initiatives.
• Vendor Management: Coordinate with external service providers (e.g., office suppliers, cleaning services, IT support) to maintain smooth office operations.

• Assist in annual operating plans and target for the department.
• Review sales & expenses budgets and evaluate periodically of the performance of the department and takes corrective actions as and when required.
• Working closely with operation department to ensure smooth and timely execution and achieve excellent customer service.
• Conduct market research to identify new business opportunities and market trends.
• Analyze competitors' products, pricing, and strategies to identify opportunities for differentiation.
• Build and maintain strong relationships with existing clients to ensure customer satisfaction and retention.
• Provide excellent customer service, addressing any inquiries or concerns promptly and professionally.
• Negotiate terms and conditions of sales agreements and contracts with clients.
• Communicate with customer for the deployment of machines related issue.

RESPONSIBILITIES

• Ensure in-house technicians and any contractors have met the workplace, safety & health and fire safety regulations upon carrying out any rectification or replacement work.
• Take charge of incidents during incipient stages before the arrival of appointed person.
• Familiarise with all emergency response, incident & crisis management and business continuity plans and procedures.
• Assist the Fire Safety Manager (FSM) and Site Incident Controller (SIC) in conducting fire drills, evacuation exercise, disaster exercise, table-top exercise and manage real incidents.
• To conduct preliminary investigation on all reported incidents and submit the incident report by end of the day.
• In charge of FCC and supervise the daily operations.
• Manage all ACMV, Lighting, Fire Alarm System, EM Doors, Paging, Lift Monitor System, Carpark System, CCTV in the FCC.
• To delegate respective competent Technicians to carry out daily checks and repair works at every shift.
• To check, prepare and update accurate event technical requirements ACMV and Lighting during work shift and for the following day if required.
• Manage and operate building systems to achieve energy efficiency and water saving and 3 also to reduce & recycling of waste.
• To ensure that the CERT response appropriately and promptly to incidents and emergencies.
• Open to work on weekdays/weekends/public holidays (depending event requirements) when required.
• Any other duties as requested by Reporting Officer.

• Minimum NITEC in M&E Engineering and/or Building Services related fields.
• Minimum 2 years relevant working experience.
• Able to communicate and with interpersonal skills. Pro-active and able to work independently and as a team.
