Job Description

• Conduct IRMS referral management for befriending and buddying services by screening all incoming referrals, directing these to the relevant executives, monitor the referral outcomes , and ensuring good record tracking.
• Handle all inquiries/ correspondences received via Centre hotline, the Active Aging General Email Account or walk-in.
• Provide administrative and logistics support to the Acitive Ageing Centre in operational documentation and reports. for example, Quarterly Department meeting notes and Monthly Centre Meetings.
• General office duties include creation of Small Value Purchase (SVPs), procurement of centre and activity supplies, handling purchase requisition, petty cash management, equipment maintenance and centre inventory.
• Compile and analyses key performance indicators, where required
• Active involvement in projects or process evaluation/ improvement exercises, as needed
• Any other ad hoc duties, as assigned.

Job Requirements & Qualifications

• Minimum “O” Level qualifications.
• Preferably with at least 1 year of working experiences in an eldercare setting or befriending and buddying services (or volunteering services)
• Good communication and interpersonal skills
• Effective in planning activities and possesses a passionate and sincere disposition to serve seniors
• Be able to work in the evening and on weekends when necessary/ required.

Job Description:

· Execute procurement processes in PCF’s Procurement Management System (PMS), including creation of Small Value Purchase (SVP)/Request for Quotation (RFQ), Purchase Order (PO), Goods Received Note (GRN)

· Work closely with Information Technology Division (ITD) and Procurement department (PRO) on technical issues encountered on PCF PMS

· Coordinate with Finance Division (FID) on payment matters

· Liaise with PRO to execute necessary follow-up actions and ensure proper closure of outstanding cases recorded such as in aging reports

· Work closely with Senior Care Centres (SCCs) and Active Aging Centres (AACs) for procurement and payment related matters

· Manage SCC/AAC staff’s professional development training process including registration, marking of attendance, and account activation via PCF Learning Management System (LMS) and Agency for Integrated Care (AIC) LMS platforms; while taking charge to relevant ensure course fee payments are processed

· Maintain SCC/ACC staff’s training records online

· Procure furniture and equipment for new centres alongside Centre Manager, Senior Nurse, Therapists as well as Admin and Finance team

· Perform grant claim submissions

· Take down minute notes for meetings

· Undertake projects and tasks that might be introduced from time to time

Job Requirements and Qualifications:

· Degree in Business Administration or Economics or Management (minimum Polytechnic Diploma in Business or Management if candidate has excellent career track in relevant experience)

· At least 2 years’ experience in administration, financial or procurement portfolios

· Proficient in Microsoft Office – MS Word, Excel and Powerpoint

· Good team player with good analytical and problem-solving skills.

· Able to multi-task, well organised and meticulous

Job Title: Senior Project Executive / Project Executive(M&E) (ID7145)

Job Description

· Assist the Project Head in overseeing M&E projects, ensuring effective management and execution.

· Collaborate with contractors to facilitate smooth project execution and ensure adherence to project specifications.

· Manage and supervise addition and alteration (A&A) works, including planning and site management.

· Oversee mechanical and electrical (M&E) services, including installation and system functionality.

· Apply knowledge and experience in ACMV, electrical systems, fire protection systems, and plumbing and sanitary services.

· Monitor site activities to ensure compliance with project specifications, safety standards, and regulations.

· Assist in the review and verification of as-built drawings and other project documentation.

Requirement:

· Degree or diploma in Electrical Engineering or a related field.

· Relevant experience in A&A works, M&E services, and site supervision.

· Strong understanding of ACMV, electrical systems, fire protection systems, and plumbing and sanitary services.

Job Responsibilities include, but not limited to

• Overseeing the Tanglin Club’s Adult and Junior libraries daily operations, including rostering
• Cataloguing all incoming resources to the library on LMS using MARC 21 and by RDA standards, where applicable
• Acquiring new resources as part of collection development
• Working with the library executives to handle events helmed by sections under the library (Book club and Movie club)
• Reviewing and finalizing the agenda and reports, and conducting monthly meetings with stakeholders
• Spearheading collection maintenance initiatives such as stocktaking, weeding and condemnation, and archiving.
• Training team on library-specific skills as and where necessary and proposing uptake of relevant courses to improve overall performance.
• Gathering feedback from patrons and using that data to improve library performance and usage.
• Introducing monthly themes for the junior library for each calendar year, planning activities for both libraries
• Ensuring all enquiries over the counter, by email, or phone are promptly tended to.
• Managing any requests made by patrons which include but are not limited to:Purchasing specific titles (monographs and DVDs)
  Subscribing to magazines or newspapers
  Accepting donations
  Dispute resolution amongst members
  
• Any other ad-hoc tasks that require attention, such as assisting with IMDA submissions, interviewing library candidates etc.

Requirements

• A degree or equivalent in Library Science, with at least 3 years of experience
• Service-oriented and comfortable with public speaking and presentations
• Ability to work on scheduled shifts which include weekends and public holidays
• Excellent written and verbal communications skills in English
• Good organizational, planning and time management skills
• Good knowledge of Microsoft Excel, Word, and PowerPoint
• High level of digital and information literacy
