about the role:

Coordinating import/export logistics, managing client inquiries, organizing deliveries, preparing shipping documents, invoicing, data entry, overseeing customer orders, collaborating with partners, and conducting monthly warehouse visits.

Responsibilities:

• Coordinating import/export, warehousing, and shipping via sea, air, and truck Managing client inquiries through emails and phone calls.
• Organizing deliveries and preparing shipping documents including invoices, packing lists, and marine cargo insurance.
• Generating invoices for billing purposes.
• Conducting data entry on MS Excel sheets and maintaining related documents.
• Ensuring timely processing and oversight of customer orders.
• Collaborating with logistics partners and conducting monthly warehouse visits in locations to verify product quantities and manage necessary documentation.

Requirements:

• Min 2 years of relevant experience
• Demonstrated experience in coordinating import/export operations, warehousing, and shipping across various modes of transportation

Responsibilities

• Reports to the Logistics Manager/Logistics Section Manager.
• Coordinates the daily logistics/warehouse activities according to the shipment schedule.
• Plan and assign staff for the daily activity in the warehouse.
• Provide information to warehouse staff for daily shipment requirements.
• Arrange and coordinates transportation for local and overseas shipment.
• Coordinate with internal and external parties for all deliveries and shipment.
• Ensure that all goods to be deliveries are arranged in a timely and appropriate manner by checking lead time of each order from customers, first-in-first out compliance, expiry date of the goods, and other necessary information.
• Coordinate collection of empty drums for recycle from customer.
• Process orders by entering into DSC system.
• Issues proper shipping document (DO, Packing List, Invoice, COA, shipping mark, permit) for each shipment.
• Arrange Marine Insurance for export cargo and import of empty drums from customer.
• Assist to conduct visual inspection for incoming and outgoing finished goods for the warehouse. Reports to the superiors on any defects or abnormalities found.
• Assist to prepare goods for shipment by:
• Scanning the serial number of the drums.
• Pasting of shipping mark as per required by the customer.
• Assist the Logistics Section Manager in inventory control and management.
• Ensure that all goods are received into warehouse with proper documentation.
• Keep record and maintain balance of goods at company warehouse and Third-Party Warehouse.
• Ensure accuracy of month end, midyear and year end stock from third party and company warehouse.
• Submit monthly report to Logistics Section Manager for empty drums and cargo insurance.
• Conducts investigation and generate corrective action report as and when necessary.
• To upkeep and maintain documentation on QMS and EHSMS records.
• To conduct training as and when necessary for warehouse staff.
• Strictly adhere to EHS and QMS procedures in all aspects of the activities.
• Performs any other task as instructed by Logistics Manager/Logistics Section Manager.

Requirements

• Preferable more than 2 years working experience in logistics, warehouse field role
• Diploma in relevant field
• Have experience using MS office, especially Excel

• Sort incoming/outgoing packages and splitting packages to X-ray machines, including retrieval of packages that required further inspection.
• Submit booking for import CC flight for next day retrieval. ULDs planning for import / export.
• Follow-up on internal and external requires.
• Customs endorsement of CIDBC form at checkpoint during weekend.
• Ad hoc other duties assigned from time to time.
