Job Description
- Assist the Banquet Manager in planning and coordinating all administrative aspects of banquet operations.
- Manage banquet event orders (BEOs), ensuring all details are accurately documented and communicated to relevant departments.
- Prepare and maintain event files, including contracts, correspondence, and other related documents.
- Coordinate with the Banquet Manager and other departments to ensure seamless execution of banquet events.
- Monitor event timelines and ensure all setups, services, and breakdowns are completed according to schedule.
- Assist in the preparation of banquet rooms and areas, ensuring they are set up according to event specifications and hotel standards.
- Manage inventory of banquet supplies, ensuring adequate stock levels are maintained.
- Coordinate with suppliers and vendors to order supplies and manage deliveries.
- Maintain accurate records of inventory usage and expenses.
- Process invoices and payments related to banquet services, ensuring timely and accurate financial transactions.
- Prepare and submit financial reports to the Banquet Manager as required.
- Provide administrative support to the Banquet Manager and banquet staff, including scheduling and performance tracking.
- Assist in training and onboarding new banquet staff members.
- Foster a positive and collaborative work environment, promoting teamwork and high morale.
Requirements
- Minimum of 4 years of experience in an administrative or coordination role, preferably in a hospitality or events environment.
- High school diploma or equivalent; additional certifications in hospitality management, event planning, or related fields are a plus.
- Strong organizational and time-management skills.
- Proficiency in using event management software and Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong attention to detail and ability to multitask effectively.
- Customer-focused with exceptional interpersonal skills.
- Ability to work flexible hours, including evenings, weekends, and holidays, as required by banquet schedules.
- Comfortable working in a fast-paced environment and handling multiple tasks simultaneously.
