Summary
This role supports the PA to CEO to ensure the smooth running of the CEO’s offices.
Responsibilities
- Book meeting rooms and set up conference calls (Teams).
- Assist with preparation of letters, presentations or reports.
- Assist with travel arrangements and itineraries.
- Assist and coordinate transport and logistics for overseas visitors or VIPs.
- Coordinate and schedule meetings.
- Assist with giftings via internal requisitions and arrange/coordinate deliveries.
- Manage and respond to Consulate’s inquiries for submissions and collections via phone or email efficiently.
- Manage and schedule appointments for submissions and collections at the Consulate.
- Manage Consulate’s administrative duties, such as applications or renewals of Passports, IDs, Visas, and to send to Embassy in a timely manner.
- Maintain proper filing and records in all offices.
- As and when required, to provide support when the PA is out of the office.
- Other administrative support functions or ad-hoc duties as assigned.
Requirements
- Diploma and above; and/or related discipline and experience.
- At least 3 years of working experience in an administrative role.
- Proficient in MS Office (Word, Excel, Powerpoint, Outlook).
- Ability to prioritize tasks, work independently and be a team player who is task oriented.
- Ability to adapt to changing priorities and able to handle ad-hoc requirements efficiently.
- Strong attention to detail and accuracy in general work and record keeping.
- Good command of English, both spoken and written.
- Ability to communicate effectively and professionally.
- Possess initiative and a positive attitude.
- Ability to manage sensitive and confidential information with strong discretion.
