Operations Administrative Support

Job Overview:The Operations Administrative Support will play a crucial role in assisting the operations team by managing administrative tasks and preparing various reports. This position requires a detail-oriented and organized individual who can handle multiple tasks efficiently while maintaining a high level of accuracy.

Key Responsibilities:

  • Schedule Management: Prepare and manage daily and periodic schedules for the operations team, ensuring all tasks are assigned and tracked effectively.
  • Attendance Reporting: Compile and prepare monthly attendance reports for all staff, ensuring accuracy and timeliness.
  • Task Completion Reporting: Generate monthly task completion reports, summarizing the status of ongoing and completed tasks.
  • Meeting Minutes: Take and distribute weekly minutes of meetings, ensuring all key points and action items are accurately recorded and disseminated.
  • Email Management: Monitor and respond to emails promptly, ensuring all client and internal communications are handled professionally.
  • Client Reporting: Prepare and submit any additional reports required by clients, adhering to their specific needs and timelines.
  • Administrative Support: Provide general administrative support to the operations team, including filing, data entry, and other tasks as required.
  • Coordination: Coordinate with different departments to gather necessary information for reports and schedules.

Qualifications:

  • Proven experience in an administrative support role, preferably within the cleaning or service industry.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong interpersonal skills and the ability to work well within a team.
  • Knowledge of scheduling and reporting tools/software is a plus.

Education:

  • A minimum of a Diploma in Business Administration, Office Management, or a related field is preferred.
