Job Title: Executive Assistant

Our client is seeking an experienced and proactive Executive Assistant to support the CEO. The ideal candidate will be a meticulous problem solver with exceptional communication skills, capable of performing various administrative duties and providing support to managers. Flexibility, consistency, and maintaining confidentiality are crucial in this dynamic role.
Objectives:
- Support the CEO and internal stakeholders to ensure company goals are accomplished and operations run efficiently.
- Maintain and refine internal processes and coordinate resources to expedite workflows.
- Manage communication with employees and liaise with internal and external executives on various projects and tasks.
- Plan and orchestrate work to achieve organizational goals and uphold best practices.
Responsibilities:
- Manage professional and personal scheduling for the CEO, including agendas, mail, email, phone calls, client management, and other company logistics.
- Coordinate complex scheduling and calendar management, ensuring a smooth flow of information to the staff.
- Handle the CEO's logistics and activities.
- Provide administrative and office support, including maintenance of filing systems and contact databases.
- Maintain professionalism and strict confidentiality with all materials.
- Organize team communications and plan events, both internal and off-site.
- Act as the point of contact among executives, employees, clients, and other external partners.
- Manage information flow in a timely and accurate manner.
- Prepare and format information for internal and external communication – memos, emails, presentations, and reports.
- Take minutes during meetings and distribute correspondence.
- Screen and direct phone calls.
- Manage office supply inventory.
- Track daily expenses and prepare weekly, monthly, or quarterly reports.
Required Skills and Qualifications:
- 4 or more years of experience in an administrative role reporting directly to the CEO.
- Excellent MS Office knowledge.
- Outstanding organizational and time management skills.
- Familiarity with office gadgets and applications (e.g., e-calendars and copy machines).
- Excellent verbal and written communication skills.
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
- Proficiency with office productivity tools and an aptitude for learning new software and systems.
- Flexible team player, willing to adapt to changes and unafraid of challenges.
- Ability to maintain confidentiality of information related to the company and its employees.
Preferred Skills and Qualifications:
- Experience in overseeing budgets and expenses.
- Experience in developing internal processes and filing systems.
- GCE 'N' or 'O' level.
- PA certification is a plus.
