Job Description:
We are seeking a highly organized and proactive Office Manager to join our team. The ideal candidate will be responsible for managing a variety of office tasks and supporting CEO with personal and professional affairs. This role requires a detail-oriented individual who can manage multiple responsibilities and well-organized to get things done.
Job description
- Personal Assistance: Assist CEO with personal matters such as scheduling appointments, managing calendars, reminding important deadlines, and following up with client requests
- Deadline Monitoring: Keep track of deadlines andensuring that the CEO meets all the important obligations in a timely manner.
- Gift Planning & Scheduling: Coordinate and schedule gift-giving for clients and key contacts' birthdays, holidays, and other special occasions, as well as for channel partners during festive seasons.
- Office Management: Attend to office management tasks such as mail management, office access management, maintaining office supplies;
- Vendor Coordination: Liaise with office vendors for various services, including property management, cleaning, office facilities maintenance, repairing, renovation coordination etc.
- Document Management: Organize and manage both digital and paper documents, ensuring that important documents are properly filed and accessible when needed; implement procedures for retention, retrieval, transfer, and disposal of document records;
- HR Support: Facilitate the onboarding process for new hires and manage the offboarding process for departing employees; address employee queries on office & HR policies; organize birthday celebrations and retreats
- Remote Staff Support: Support remote staff with on-site tasks as onsite liaison staff as and when needed
- Company Correspondence: Attend to company general email and incoming call enquiries and direct to respective departments if needed
- Other Ad Hoc Duties: Handle miscellaneous office tasks as they arise, ensuring the smooth operation of the office.
Requirment:
- Diploma or Bachelor's degree required
- Strong organizational skills with the ability to multitask effectively
- Excellent communication skills, both written and verbal. (Able to write and speak Mandarin is a must)
- Ability to work independently and take initiative.
- Proven ability to handle confidential information with discretion
- Proficient computer skills & tech savvy
- Experience in dealing with Singapore government agencies such as MoM, IRAS, ACRA etc and corporate secretary companies is a plus
