Job Description:
A Conveyancing Executive plays a crucial role in assisting with the legal aspects of property transactions, including sales, purchases, mortgages, and refinancing in Singapore. The role requires excellent organizational skills, attention to detail, and the ability to manage multiple transactions simultaneously.
Key Responsibilities:
1. Handling Conveyancing Matters:
• Assist in managing all aspects of conveyancing transactions, including sales, purchases, refinancing, and mortgages for residential, commercial, and industrial properties.
• Prepare and review legal documents, including Sale & Purchase Agreements, Option to Purchase, Transfer Documents, Mortgage Documents, and other related paperwork.
• Ensure compliance with the Land Titles Act, Conveyancing and Law of Property Act, and other relevant regulations.
2. Liaison:
• Act as a point of contact for entities, law firms and agencies providing updates and addressing queries throughout the conveyancing process.
• Schedule appointments for document signing and explain legal documents and processes.
3. Liaison with Stakeholders:
• Communicate and coordinate with banks, financial institutions, law firms, real estate agents, and relevant authorities (e.g., Singapore Land Authority, Inland Revenue Authority of Singapore).
• Handle submissions and correspondence with the necessary authorities, including stamping of documents and lodging of instruments with the Singapore Land Authority.
4. Administrative Duties:
• Maintain accurate and up-to-date records of all transactions, ensuring proper filing and documentation.
• Prepare billing and assist with conveyancing accounts, including the disbursement of funds for transactions.
• Monitor timelines and deadlines for various stages of the conveyancing process to ensure timely completion.
5. Compliance and Risk Management:
• Ensure compliance with Anti-Money Laundering (AML) and Countering the Financing of Terrorism (CFT) regulations.
• Conduct checks on clients’ identities and property-related risks, including title searches and encumbrance checks.
6. Legal Research and Support:
• Provide support to lawyers on legal research related to conveyancing and property law.
• Assist in the preparation of legal opinions or advisory notes when required.
Qualifications and Skills:
• O-Level, Diploma or Degree in Law, Real Estate, or a related field.
• Minimum 1-3 years of experience in conveyancing within a law firm or legal department.
• Strong understanding of conveyancing procedures, regulations, and documentation requirements in Singapore.
• Proficiency in using legal software and conveyancing systems (e.g., e-Litigation, STARS eLodgement).
• Excellent communication and interpersonal skills, with a strong client service orientation.
• High attention to detail, ability to manage multiple tasks, and work independently under tight deadlines.
• Familiarity with AML/CFT compliance procedures and the ability to handle confidential information with discretion.
