As our high growth momentum continues, we're currently hiring for Accounts & Sales Support Executive to support our expanding Sales team in Singapore! In this role you will:

A. Sales Support:

· Reporting to Sales Manager.

· Being the centre point of contact for sales ordering placing, including orders from various countries.

· Efficiently process orders and coordinate deliveries.

· Be involved with the entire sales operations process, from issuing invoice, navigating customer to payment platform, issuing sales order, purchase orders to other trade-related documents.

· Responsible for shipment arrangement to ensure smooth & consistent goods delivery.

· Establish active communication and engagement with sales and logistic team to ensure that orders are processed promptly.

· Point of contact for Key account inquiries and being an inside sales for existing customers.

B. Accounts:

· Maintain accuracy of general ledger.

· Perform daily accounting & finance duties including receivables and payables processes, general ledger, tax and bank reconciliation etc.

· Prepare monthly financial and management reports for management.

· Oversee AR and AP data and maintenance of sub-ledger;

· Handle data entry of transactions to accounting system.

· Support audit and tax queries.

Qualifications & Requirements

· Minimum GCE ‘O’ Level & ITE or Diploma with 1 years working experience will be an advantage.

· Basic accounting skills.

· Computer skill such as MS Office.

· Possess good interpersonal and communication skills.

Key Responsibilities

You will be responsible for the day-to-day Human Resources & Administration operational activities, your key responsibilities include:

Office Procurement:

• Identify and evaluate potential suppliers, negotiate contracts, and secure favourable terms and conditions within the annual budget;
• Oversee the end-to-end procurement process, including sourcing, negotiation, and supplier management for office supplies, equipment, and services;
• Manage and maintain contracts with suppliers, ensuring that terms and conditions are met, and contracts are renewed or renegotiated as needed;
• Ensure compliance with companys procurement policies, procedures, and relevant regulations.

Office Maintenance:

• Manage all aspects of the office lease, including negotiations, renewals, and compliance with lease terms;
• Supervise and manage the overall maintenance and cleanliness of the office premises to ensure a safe and functional work environment;
• Identify and resolve issues related to office equipment, fixtures, or furniture. Collaborate with external vendors for repairs and maintenance services.

Expat Management:

• Manage the relocation logistics for expatriates, including housing arrangements, transportation, and settling-in services;
• Administer expatriates accommodation, car rental and related maintenance services;
• Act as the main point of contact for expatriates, addressing their concerns and providing ongoing support;
• Plan and coordinate the repatriation process, assisting expatriates in their return to the home country or their next assignment.

General Insurance:

• Accountable for review and renewal of organisations general insurance.

Travel Arrangements:

• Establish and manage travel approval processes and policies, including maintaining and managing travel related vendors, such as travel agents and hotels with aim to achieve work and cost efficiency;
• Arrange and coordinate all aspects of business travel for employees, including flights, accommodations, transportation, and other related services.

Budget & Projects:

• Achieve cost leadership by anticipating requirements; submitting information for budget preparation; scheduling expenditures, monitoring costs and analysing any variances;
• Undertake special projects that will help improve processes, create work efficiencies, and benefit the organisation, which includes planning, coordinate, communicate, execute, and of monitor results.

Human Resources Operational Support:

• Responsible to design and implement employee engagement programs and initiatives to foster a positive workplace culture.
• Support to generate required HR reports from HRIS system to support HR & Admin Manager on HR data analytics as necessary.

Who We Are Looking For

• Minimum Diploma or Degree in Business Administration or any other related discipline;
• Min 4 to 5 years of past administrative and HR support experience;
• Microsoft Office applications Word, Excel, Powerpoint, Outlook;

Job Scope

• To assist in the drafting of customer agreements for the Group on a timely basis
• To conduct searches, collate and verify relevant documents from various parties and ensure completeness of documentation before drafting of agreements
• To maintain proper filing of contracts and safe keeping of original agreements at all time
• To assist and support in providing contract related information to various parties as and when requested
• Preparation of documents to respective finance personnel for accounting purposes
• Scanning and upload the full contracts with all attachments onto ERP Systems
• Create of new customer code.
• To furnish final reminder, initial and commence legal proceeding as according to the Group protocol
• To monitor and follow-up on legal cases until the cases have closed or conclude
• To liaise with lawyers on legal matters
• Arrange to meet up with customers together with Sales personnel to negotiate repayment plans
• To update respective Finance/Commercial/Credit Control personnel on account status on legal related matters
• Any other ad-hoc assignments
