Job Duties & Responsibilities:

• To ensure timely, accurate month-end closing & generate management/financial reports.
• Reconcile & monitor bank / cash transactions
• Issue payment voucher, claims, reimbursements etc
• GST reporting
• Liase with external auditors, assist in fact-checks, and resolving discrepancies
• All other book-keeping / accounting functions
• Perform any ad-hoc duties assigned.

Job Requirements:

• Familiar with Autocount software a plus, but not necessary.
• Proficient with Microsoft Office applications - Word, Excel etc.
• Min 3 years of relevant experience prefered.
• Need to work in office due to clerical paperwork duties.
• Able to work with minimal supervison

• Assist Business Development Team in handling all daily tasks and responsibilities within the department.
• Initiate customer visits and processing of various sales proposals, quotations and contracts
• Responsible in maintaining company’s database and prepare presentation materials to various stakeholders.

Responsibilities

· Responsible in invoicing related work. Ensure prompt to perform billing activities in the billing system to meet all billing timeline in an accurate manner.

· Ensure all billing activities are well coordinated to meet customers’ requirement.

· Generate and send out invoices to customers on time.

· Preparation of sales report.

· Responsible in handling month end closing report.

· Responsible in handling collection debts.

· Assist in the preparation of spreadsheets, reports and correspondence as required.

· Carry out reporting activities according to specific deadlines.

· Liaise with accounts on finance matters.

· Liaise with external vendor for billing related issues.

· Assist with year-end audit preparation and procedures.

· Able to multi-task and work in a fast-paced environment.

· Other ad hoc assignments.

• Diploma in Maritime Studies or equivalent.
• Relevant experience working in Shipping Company or Freight Forwarding Company.
• Knowledge of Shipping Operations will be advantage.
• Good communication skills and good command of English for both written and verbal.
• Customer oriented with good interpersonal skills and well organized.
• Proficiency in Microsoft Office Applications (Words, Excel, Outlook, Powerpoint etc).
• Team player with positive attitude, friendly, hardworking and responsible.
• Able to start work in short notice.

Job Description:

• Liaise with vendors on order management issues
• Liaise with HODs to resolve operational issues such as order management, site delivery issues
• Ensure and monitor tender administration is done accurately and on schedule
• Sales Order Processing for Key Account, including issuance of Purchase Order and Delivery Order
• Perform monthly cost report and tracking of ongoing jobs
• Ad-hoc tasks assigned by superior
• To ensure timely login of sales orders and processing for all sales
• To handle sales login for Key Account customers, including issuance of Purchase Orders and Delivery Orders
• To liaise with vendors to resolve all leadtime issues of equipment and negotiation of project prices and payment terms
• To monitor project status and forecast project risks and take preventive measures

School Improvement Works:

• Coordinate work activities to avoid disruptions to school operations
• Attend site discussions and operations meetings
• Monitor site workers for school safety & security
• Inspect work progress and provide feedback to school management
• Follow up on rectifications of defects
• Provide logistics support to staff including arranging for removal, storage & relocation of school equipment and resources

Administration:

• Perform administrative tasks including documentation
• Proper storage and housekeeping of project files and documents
• Track and monitor payment of completed projects and improvement works

Others:

• Manage and operate the school communication systems such as Public Annoucement System and Audio-Visual System
• Assist the Operations Manager in overseeing the estate management of the school including estate maintenance and cleanliness of the school
• Maintain security and safety of the school premises and property
• Other duties assigned by the management

Requirements:

• Should have preferably 3 years experience in related field
• Should have preferably Diploma in Facilities Management, Project Management, Engineering or related courses
• Proficient in MS Word, EXCEL, PowerPoint. Good interpersonal and communication skills.
• Good customer-service skills

Contract Period:

• 1 April 2024 to 31 July 2025 with an option to extend the Contract for a further period of eight (8) months from 1 August 2025 to 31 March 2026 subject to approval.

Working Hours: (42 hrs per week):

• Mondays to Thursdays: 7.30am to 5.00pm, inclusive of 1hr lunch break
• Fridays: 7.30am to 4.30pm, inclusive of 1hr lunch break
• Saturdays, Sundays and gazetted public holidays will be a holiday
