What you will be working on

• To provide administrative support for NAC registry digitization project expected to take place over 3 years
• To coordinate timeline with vendor to complete digitisation of physical NAC records
  (As there will be packing and transfer of physical files, the incumbent must be able to physically carry some load.)
• The incumbent will need to work in NAC’s physical registry daily for this role
• Be familiar with NAC registry and attend to requests from staff who require to draw out files
• To assist the department with other workplace administration roles as required

A typical day looks like:

• Assist with the development of different tracks of the International Partnerships (IP) agenda (e.g. Desktop research, arrange foreign visits/meetings).
• Draft emails, submissions, powerpoint slides.
• Assist in running and marketing of events and conferences, (e.g., Logistics and administration of activities, liaising with vendors)
• Development and management of SOPs/databases for IP (and Research) and involve in data analytic projects.
• Secretariat duties including management of meetings and taking notes and post-meeting follow ups.

Job Summary:

· Job Responsibilities:
Ensuring timely processing of all sales orders and logging procedures is a priority.

· Handling sales order processing for Key Account customers includes the issuance of Purchase Orders and Delivery Orders.

· Liaising with vendors is essential to resolve equipment lead time issues and negotiate project prices and payment terms.

· Monitoring project statuses and forecasting project risks is part of the role. Implementing preventive measures as necessary is crucial.

· Collaboration with the Finance Team is necessary to track invoicing status and project cashflow projections. Updating and maintaining all suppliers' price books for accessibility by the sales team is required.

· Maintaining accurate inventory records and ensuring minimal inventory levels at all times is essential.

· Recording all maintenance contracts in systems and providing relevant information to the Services Sales and Post Sales teams consistently is important.

· Facilitating a smooth and efficient sales handover process from project initiation to post-sales support is a key responsibility.

Requirements:

- Experience with order management / supply chain management in a project based company
