Overview: The Corporate Secretary Admin will assist in providing corporate secretarial services, ensuring compliance with the Companies Act and other regulatory requirements in Singapore. Key Responsibilities:

• Manage client communications, including responding to inquiries related to corporate secretarial matters and ensuring a high level of customer service.

Qualifications and Skills:

• Diploma or degree in Business Administration, Corporate Governance, Law, or a related field.

• Retrieve purchase orders from emails, sales chatgroup, salesman forms and faxs.
• Process PO into invoices for delivery.
• Prepare Delivery Schedules for delivery drivers.
• Ensure all invoices are back signed and stamped after delivery
• Answers phone calls.
• Responds to emails and other digital queries and correspondence.
• General updating and Data entries.
• Familiar with MS Word and MS excel.
• other ad hoc general clerk duties.
• Teamwork is essential.

Working hours & Benefit:

Mon to Fri 8am-5pm, Alternate Saturdays 8am-12pm. (Less than 44 hours per week).

Sales operation management
1. Handle sales queries and discuss customer's requirements with the sales director.
2. Prepare quotations based on customers' needs/requests.
3. Support directors.
4. Issue PO to supplier.
5. Coordinate and liaise with suppliers and forwarders on delivery schedules.
6. Arrange shipment / check shipping document when order is confirmed.
7. Issue DO, update inventory listing.
8. Maintain a healthy level of buffer stock and ensure optimal stock levels.
9. Issue sales invoices when goods are delivered.

Account & admin
1. Follow up payment with the customer when overdue.
2. Prepare the doc to send to accounting firm to close account quarterly and annually.

3. Support Directors' admin tasks

Requirements
1. At least 1 year of relevant experience in a related field.
2. A bachelor’s degree in business admin/ sales / marketing or equivalent combination of education and experience.
3. Ability to multi-task. Superior interpersonal skills are required to work with the sales manager, suppliers, and forwarder.
4. Strong written and verbal communication skills.
