• Support Product Manager on all aspects of administration processes for new supplier partners and new product developments
• Ensure cost and price changes is reflected timely
• Ensure new article creation is created timely
• Support in the management of consignment related duties
• Assist in the timely and accurate maintenance of promotions download, obtain sign off for press advertisement
• Support Product Managers with weekly promotion commitment and collations with Operations Team and supplier partners
• Coordination with respective suppliers on administrative updates
• Ensure timely and accurate submission of documents for System maintenance
• Support internal stakeholders and communicate any potential issues that may impact on business operations
• Any other adhoc duties as required

About You

• Diploma or Degree in any discipline
• Preferably 1 year relevant working experience
• Proficient in Microsoft Excel (e.g. Pivot Table, Vlookup)
• Knowledge in SAP is beneficial
• Excellent communication and coordination skills

About the role

Amberdale Asset Management is seeking an experienced HR and Admin Manager to join our dynamic team in the One North Central Region. In this full-time, strategic position, you will be responsible for overseeing all human resource and administrative functions, ensuring the smooth operation of our thriving business.

What you'll be doing

• Developing and implementing HR policies, procedures and best practices to support the company's growth and goals
• Overseeing the full employee life cycle, including recruitment, onboarding, training, performance management, and offboarding
• Managing payroll, benefits administration, and compliance with relevant employment legislation
• Providing expert HR advice and guidance to managers and employees
• Maintaining comprehensive HR records and generating reports as required
• Coordinating office management and administrative functions to optimise efficiency and productivity
• Identifying opportunities for process improvements and implementing innovative solutions
• Providing full secretarial support to the Managing Director

What we're looking for

• Significant experience (7+ years) in a generalist HR and/or administrative management role, ideally within a professional services or financial services environment
• Excellent knowledge of HR best practices, employment law, and payroll administration
• Strong organisational and multitasking abilities, with a keen eye for detail
• Exceptional communication and interpersonal skills, with the ability to build trusted relationships
• Proficiency in HR information systems and MS Office suite
• Relevant tertiary qualifications in Human Resources, Business Administration or a related field

Responsibilities:

1. Meetings

• Arrange and prepare presentations for meetings
• Take minutes of meetings for F&B Sub-committee or any other meetings as required

2. Licences

• Track the expiry/renewal of licences relating to F&B such as Halal certification, liquor licences, catering licence, music licence etc
• Submit applications for the renewals on time

3. Purchases

• Assist with inventory management, stock controls and put up purchase requisitions.

4. Enquiries/Feedback

• Respond to general phone/email enquiries relating to F&B promptly and professionally
• Assist to track and reply feedback from members & guests

5. Documentation

• Maintain proper documentation of agreements/contracts with vendors
• Prepare reports and performance metrics and ensure proper filing
• Keep track of invoices and receipts for submission to Finance Department

6. Disciplinary of Members

• Assist the CEO/Ops Director with the administration of disciplinary of members; preparation for Disciplinary Sub-committee meetings, minutes of meetings and the follow-ups

7. Others

• Assist with special F&B promotions or events especially events involving VIP guests
• Co-ordination with other departments on training/departmental activities

Any other duties as may be assigned from time to time.

Requirements

• Degree in relevant discipline or equivalent
• Preferably with working experience in the F&B/hospitality industry or in a secretarial position
• Proficient in MS Office applications
• Strong organisational skills with the ability to multi-task
• Good verbal and written communication skills
• Strong interpersonal skills to collaborate with members, external partners, management, and colleagues
