Executive Administrator (Healthcare/1 Year Contract)
Description:
The primary responsibility of this role will be to ensure the smooth and efficient administrative support to the assigned regional ASEAN Commercial leadership teams based in Singapore. Responsibilities will be broad and changeable in nature ranging from day-to-day business operations, coordinating or leading special projects, arranging conferences through to preparing presentations.
Key responsibilities/essential functions include:
- Support Executives in all related administrative tasks which may include effectively maintaining and coordinating calendars, scheduling meetings, making travel arrangements, providing phone coverage, processing and reconciling expense accounts and handling various purchases which may include invoice arrangements.
- Be an active member of the leadership staff providing insights and generating ideas for greater efficiency & effectiveness.
- Handle confidential and sensitive information.
- Schedule, plan and organize in-house and off-site meetings, training and events. This can include ordering and setting up catering, meeting time management and running all applicable meetings logistics.
- Coordinate/lead key projects and the roll out of business-wide initiatives.
- Develop PowerPoint presentations and other graphic presentations; type various correspondences both in own signature and in manager’s signature.
- Assist with communications related activities such as maintaining relevant distribution lists, producing email correspondence, presentations, meeting agendas and back-up and support local Administrative Assistant team if required.
Required Qualifications:
1. Associates degree with administrative professional coursework with 3 years’ experience in a corporate or professional business environment in an administrative role OR 5 or more years of experience in a corporate or professional business environment in an administrative role.
2. Proficiency with Microsoft Tools such as Excel, PowerPoint and Outlook
3. Self-Starter, proactive, able to work independently with minimal direction, able to maintain confidentiality and handle matters discreetly
4. Effective time management and organizational skills; able to balance multiple priorities
5. Effectively problem solve and resolve a variety of issues and topics within the job scope
6. Ability to effectively interact and communicate with senior level management and corporate contacts
7. Excellent interpersonal, verbal and written communications skills.
8. Strong organizational skills with attention to detail
9. Ability to exercise independent judgment consistent with department guidelines.
10. Ability to quickly identify and prioritize issues, create solutions and meet deadlines.
